Creating PDF Files from Microsoft Word

PDF Create provides a Kofax PDF tab and ribbon for Microsoft Word with the following tools.

Generate a PDF file from the current Word document, transferring the hyperlinks, bookmarks, comments and document information (metadata) to the PDF file according to the Creation Settings. Using the File/Print menu results in a PDF file without these elements. Because of the additional processing, this type of conversion might be slightly slower.

Create and save a PDF and also have a copy as attached to a new empty e-mail message, ready to be sent.

Creation Settings

Open the Kofax PDF Settings for Word dialog box. Use this to set transfer of bookmarks, links, comments and metadata from Word to the resulting PDF file and also to create a tagged PDF and access the Kofax PDF Create Properties dialog box under Advanced Settings.

 

To make settings before PDF creation

  1. Click the Creation Settings tool.

  2. Ensure the checkmark ‘Generate Bookmarks, Links, Comments, Tags in resulting PDF file.’ is selected.

  3. Enable or disable each component in each tab, making choices for enabled items.

  4. Choose Embed Metadata in Advanced Settings to have the Word file’s existing document information (metadata) transferred to the PDF.

  5. Click the Advanced Settings button in the Advanced Settings panel to access settings for compression, fonts, security, watermarks and more.

Note

Tagging a long PDF may take several minutes. Choose this only if you really need a tagged PDF.

 

To start PDF creation

  1. Click the Create PDF or Create PDF and e-mail tool or use the corresponding menu items.

  2. Accept or change the default target folder and file name in the Save As dialog box that appears.

  3. If you did not choose to transfer metadata from the Word document, optionally add document information through the Document Properties dialog box.

  4. Select View resulting PDF in the General tab of the Kofax PDF Properties dialog box to have the PDF document displayed.

Note

If the Kofax PDF tab and ribbon are not displayed, consult the Troubleshooting topic.

Tip

You can also display the Kofax PDF Create Properties dialog box if you choose the Kofax PDF printer driver in the Print dialog box and then click the Properties button.
