Workflow Maintenance

Purging completed workflow data

The Workflow Process Maintenance window provides an overview over finished workflow processes and allows you to purge completed workflow data. You gain access via a tab in the Adviser module.

Purging workflow data means purging the dehydration storage. When you purge, only workflow data in the dehydration storage is cleaned out. Invoice data still remain in your system and you are still able to search for and view invoice details and audit history. You must enable the purge schedule in order for purge to work.

Purge schedule

To purge immediately, click Purge now. This purges the selected States to Purge before the defined Retention days. To purge on a predetermined schedule:

  1. Select the States to Purge.
  2. Specify the number of Retention days.
  3. Define a schedule Frequency and all the appropriate time details.
  4. Click Update Schedule and confirm the choice.
  5. The purge will run on the scheduled time.

Workflow overview

Instance State

Shows a pie diagram illustrating the percentage distribution of all workflow states. You can hover a section to get details about that state.

  • Enabled - Determines if the purge schedule is enabled (Yes) or disabled (No).
  • States to purge - Select one or more states to be purged on the scheduled time or when you click Purge now.
  • Retention days - Specify a number of days. The purge will include all workflows completed before that number of days ago.

Instance Growth

Shows the growth over time of the dehydration storage for all workflow data. Each state is represented individually by color.

Schedule Job History

A table showing a history and status of completed purge activites.

Schedule specifications

  • Frequency - How often should the purge be run - monthly, weely or daily?
  • Repeat interval - How often should the purge repeat? (For example: 1 equals every frequency chosen, 2 every other etc).
  • Day of Month - Which day of the month should the purge take place? (-1 refers to the last day of the month.)
  • Day of Week - Which day of the week should the purge take place?
  • Hour of Day - Which hour should the purge take place?
  • Minute of Hour - Which minute should the purge take place?

Set the purge schedule to execute on the specified time.

Purge now
Purge immediately using the chosen purge settings (States and retention days).
