Upload Invoices using Excel

Excel Sheet Upload

You can import invoice lines including details and distributions to PROCESSIT by uploading an excel sheet with invoice line data. This is done in Task Details.

When you upload a file, the lines are automatically inserted. For instance, you can upload 75+ lines with description, amount, account code combination and split to information already defined in the spreadsheet. You can include any line data that is available as a column in the Task Details line information segment.

Upload invoice lines via excel must be enabled for a role that you belong to.

The spreadsheet must be a .xls file type, specifically Excel 97- Excel 2003 Workbook, .xls, The Excel 97 - Excel 2003 Binary file format (BIFF8). You can see more about Microsoft Excel file types here.

Spreadsheet Content

Create a spreadsheet with columns that match the line data.

  • The column headers are used to identify line data type. The column headers must match those in PROCESSIT.
  • A single spreadsheet row corresponds to a single invoice line.

If you do not already have a template or a pre-existing correctly formatted spreadsheet, you can export an excel file from PROCESSIT to use as basis for the invoice line import.

  1. Open invoice Task Details for an existing invoice task.
  2. Click Options in the line information segment table header.
  3. Select export to excel.

When you open the file, it contains all of the columns in the same order and language as in PROCESSIT. Remember to save the spreadsheet in the .xls file format.

The spreadsheet column headers must match the column names in PROCESSIT. This means they must be in same language.

Uploading the lines

  1. Create or modify a spreadsheet to contain the desired invoice lines.
  2. Open Task Details for the invoice task where the lines should be uploaded.
  3. Click Upload Lines in the line information segment header.
  4. Select whether or not you wish to delete all existing invoice lines.
  5. Browse for your spreadsheet or supply the full file path.
  6. When a file is selected, the lines are imported and added to the invoice.

DFF data for uploaded lines

If you want to add Descriptive Flex Field data to the invoice lines, you must add one or more columns to the spreadsheet where the column header value matches the dff segment label.

Configuration and permissions

In order to upload lines via Excel, you must have the correct permissions configured in User Maintenance Role Configuration.

A user with permission to configure PROCESSIT must enable Upload Invoice Lines for a role that the user who attempts to upload lines via excel belongs to. Otherwise, the user is not allowed to upload invoice lines from a Microsoft Excel Sheet.
