Document Settings tab

Use this tab to set preferences for exporting documents to the OpenText eDOCS DM repository. For example, you can select from a list of available profiles, and link Kofax Values to DM index fields.

Name
Enter a name for your export connector. This name is used to refer to the export connector in your Kofax application. This field is not required, but it may help to track export connectors if you are using the Kofax Capture Multiple Export feature. The maximum length is 32 characters.
Profile

This list contains the available OpenText eDOCS DM profiles associated with the document. Only profiles allowed for the logged-in user are listed.

Select the profile to use at export time. Once a profile is selected, the DM Profile Attributes section is populated with the index fields defined for the selected profile.

Note Changing the selected profile removes all DM index field links, as listed in the DM Profile Attributes section. Before the links are removed, you are prompted to confirm the change. If you continue, the links are removed.

To export into Records Management, the selected profile must be a Records Management profile. In addition, you must select Send documents to the Record Management system on the General Settings tab.

DM Profile Attributes

Use this table to establish links between DM index fields and Kofax field values based on Index fields, Batch fields, and Kofax Values, as described in this topic. During export, the specified values are exported to the associated DM index fields.

Note During export, Kofax Values are converted to the column types of the DM index fields. To enable exporting to the DM library, all Kofax Values must be converted to column types. Therefore, the column types of the linked values must be compatible. Click here for a list of the data type conversions.
Tip You can prevent DM index fields from appearing in the DM Profile Attributes section. Click here for more information.

To link a Kofax field value to a DM index field, select a DM row in the DM Profile Attributes table. A context menu button appears at the end of the selected row, in the Value column. Click the button to display menu options for linking Kofax field values to DM index fields.

Name

Lists the DM index fields defined for the selected DM profile. Some, but not all, required index fields are shown with an asterisk (*) in front of their names (for example, *Document Name).

Note You must associate a Kofax Value or a custom DM constant for all required DM index fields.
Kofax Mappings

Lists the available Kofax field values to link with the DM index field. You can enter multiple values per field if necessary. The mappings are validated during the export process.

Document Index Fields

Select to display a list of Kofax Capture index fields defined for the document class. If no document index fields are defined for the document class, this option is not available.

Folder Index Fields

Select to display a list of Kofax Capture index fields defined for the folder class. If no folder index fields are defined for the document class, this option is not available. Not applicable to Kofax Express.

Batch Fields

Select to display a list of Kofax Capture batch fields defined for the batch class. If no batch fields are defined, this option is not available. Not applicable to Kofax Express.

Kofax Values

Select to display a list of Kofax Values.

Note Kofax Values are strings.
Custom Constants

Select a custom DM constant. The items on this list reflect the allowed values for the selected DM index field, as defined in the current profile. The constants are not case sensitive.

Note Folder is a reserved value for creating folders only.
If Document Exists

Select the behavior to occur at export time when an exported document already exists in the OpenText eDOCS DM repository.

Note If you selected Version document using the document number instead of the document name on the General Settings tab, the following settings are not applicable; they apply to versioning a document by the OpenText eDOCS DM document name.
Version document

Creates a duplicate document as a new major version to the existing document with the same document name, up to the maximum number of versions allowed for the document. If the maximum is reached at export time, the document is not exported; if you are using the document with Kofax Capture, the document is routed to the Quality Control module.

This is the default setting.

For more information about assigning the maximum number of versions for a document, refer to the documentation that came with your OpenText eDOCS DM product.

Important If the document to export has the same name as a document already in OpenText eDOCS DM, then only the image file is exported. In this case, the profile information, keywords, security settings, folder settings, exception folder settings, etc. specified at export setup are not used at export. Instead, the settings on the first instance of the document already in OpenText eDOCS DM are used. No error is generated during export. If "Version document" is selected, but the document is not a version, but rather the first instance of the document, all specified settings are used.
Create exception document
Creates a duplicate document as an exception document. The name of the exception document is "Exception_ n" where "n" is a unique sequence number. The sequence number increases by one for each duplicated document.
Create new document

Creates a duplicate document as a new document with the same name as the existing document.

Note This option works only if the library was generated with "Allow duplicate document names" selected. Otherwise, an error is generated during export. For more information about generating a library database, refer to the documentation that came with your OpenText eDOCS DM product.
Keywords

Use this text box to add one or more keywords to a document. The Keywords text box is available if the selected profile contains a keyword field.

Tip To use keywords, you must add a keyword field to your profile with DM Designer, and then add the profile to the desired library. To add a profile to a library, run Library Maintenance. Click Group > Forms, and then select the profile from Profile Search. Finally, run Server Manager > Cache, and click Refresh All. Add the keywords object to the TRIM Document Search Form. For more details about adding keywords to profiles and adding profiles to libraries, refer to the documentation that came with your OpenText eDOCS DM product.

If the Text Constant Kofax Value was selected, you can enter multiple keywords. Each keyword must be separated by a semicolon (;). Leading and trailing spaces are automatically removed. You can enter a keyword "phrase" that contains multiple words, each separated by a space.

Keywords cannot contain the following characters: comma (,), double quotation ("), single quotation ('), backslash (\), question mark (?), or asterisk (*).

Important If the exported documents are actual versions of documents already in OpenText eDOCS DM, only the image file is exported. In this case, the profile information, keywords, security settings, folder settings, exception folder settings, etc. specified during export setup are not used during export. Instead, the settings on the first instance of the document already in OpenText eDOCS DM are used. No error is generated at export time.

In addition to specifying keywords, you can select one of the following options to control how new keywords are handled:

Add new keywords to library

Allows the creation of new keywords in the DM repository, if the keywords do not already exist. The keywords are appended to the existing list of keywords. The maximum length for the keyword value is 30 characters.

If "Version document" is selected, you cannot add keywords.

Ignore keywords not in library

Ignores keywords that do not exist in the DM repository. New keywords are not added.

Retention

This is the number of days that the exported document is retained in OpenText eDOCS DM before it is archived, deleted, or relocated.

Enter a value from 0 to 999 days. The default is 10 days. Refer to your OpenText eDOCS DM documentation for more information on how an exported document is archived, deleted, or relocated.
