Folders

The following topics detail information about folder structure and features in PSIsafe Desktop. The basics of folder creation are intuitive and straightforward. Imagine that in most cases, a folder in PSIsafe Desktop is meant to represent a real file folder in a physical cabinet. Explanations of the structure of folders and their corresponding index values are also described in detail.

Folders Pane Navigation

Navigating folders in the PSIsafe Desktop Folders pane is nearly identical to navigating folders in File Explorer. Folders can be right-clicked for additional functionality.

Folder Navigation Bar:

  • Open: Opens the folder currently selected.
  • New: Create a new folder - (rights driven).
  • Edit: Edit current folder - (rights driven).
  • Delete: Delete current folder - (rights driven).
  • Tools: A variety of tools for the selected folder are available.
    • Route folder: Route the selected folder based on preconfigured workflow rules.
    • Mark Folder: Move an entire folder with its documents to a compatible Cabinet.
    • Select / Unselect All In List: Highlights all or none of the folders in the current Cabinet.
    • Folder Actions: A subset of additional functions to perform on the folder.
      • Indexes: import or export indexes or populate folder index values from a spreadsheet.
      • Contents: Export the folder and its files as a single directory or with the entire Cabinet directory structure.
    • Adv. Folder Search: Open an advanced search window for the currently selected folder.

Folder Pagination

The scheme for folder pagination is rather simple. If the current folder count in the cabinet exceeds 100, the Pagination Controls appear at the bottom of the folder list. When folder count is below 100, the Folders Pane displays the list of folders with a standard navigation interface. Scroll through the list of folders with the Mouse Wheel (up or down) or by using the scroll bar on the right-hand side of the folder list.

The navigation options are for Folder Sets, defined as the number of 100-folder subsets which navigate between folders across pages, and Current Set, defined as the currently displayed 100-folder subset which allows users to navigate between the currently displayed list of documents on the page. These buttons also contain tool tips to denote their function (first, previous, next, last).

This setting is automatic, and no user configuration changes are necessary. The arrow keys jump between First, previous, next, and last of either Folder Sets or Current set. Current set applies when a search filter is applied to the list.

If the selected Cabinet has less than 100 accessible folders, these buttons are hidden completely. Button visibility is not changed due to the results of advanced folder searches or if the last folder set has less than 100 entries.

Folders can be navigated by performing a quick search to narrow results or by sorting the columns by clicking on their header. Additional folder index filters can be adjusted as needed.  When the folder count reaches 100 or more, pagination of folders is introduced with a new folder navigation toolbar at the bottom of the Folders pane.

The number of documents shown per page is a per-user setting. It is set in the client under Options > Client > Documents-Display.

The Show documents in pages option within this window controls if paging is enabled at all. The setting is on by default.

Turning this setting “off” by unchecking the Show documents in pages option sets the record control to 9999, so exceeding 10,000 documents in list will display pagination again. In most cases, an active folder will not exceed 10,000 documents within it, but in this rare case, these settings may activate automatically.

Documents per page controls how many parent documents are shown per page, and defaults to 50.

Folder Info Pane

The Folder Info pane, just to the right of the Folders pane by default, contains a few tabs to display certain relevant information.

Folder Info Pane Tabs:

  • Index: Defines the index in a folder with further details.
  • Info: Displays information relating to the folder, create date, sensitivity, etc.
  • Notes: Folder notes are displayed and can be opened here. For more information, see Use notes on folders.
  • Trace: Traces the location and user actions on a folder.
