Folder Notes

Folder Notes specify item properties (subject, keywords, author, etc.) at folder level. Place them as follows:

  1. On the Desktop ribbon, click the Folders button to display the Folders pane.

  2. Select a folder and click the Folder Notes button on the Tools ribbon or right-click on the folder and choose Folder Notes from the shortcut menu.

  3. In the Folder Notes dialog box, enter values into the Subject, Author and Keywords edit boxes and click OK. It is not necessary to fill in all the three boxes.

This icon denotes folders with Folder notes.

You can check or modify item properties for any PDF item by right-clicking on it and choosing Properties. Changes apply to the selected item only and are not written back to folder notes. You can select multiple PDF files and change subject, author or keywords in one operation.

When a PDF file with item properties is duplicated, copied or moved, the item properties remain with the PDF or its copies, regardless of whether they came via folder notes or were entered or modified manually.

In PaperPort Professional folder notes can be automatically applied. Turn on this feature in the Folder Properties dialog box by selecting the checkbox Automatically apply Folder Notes to choose how to proceed if an imported PDF file already has item properties. You can:

If folder notes were added, they remain with the PDF file even if it is moved or copied to a folder without folder notes enabled.

Check the option Apply Folder Notes to password protected documents and choose password to help prevent other people from opening or modifying your documents. For more information see About password protection of PDF files.

Add folder notes when scanning to PDF

Three options have an effect on Folder Notes behavior when scanning:

If all the three options are ON, after clicking the button Done (in PaperPort Professional, Done Scanning), the PaperPort - Scan dialog box appears with the displayed item properties taken from Folder Notes (subject, author, keywords). You can modify them if required.

If both Show Capture Assistant and Modify Document Name and Notes are ON, and Automatically apply Folder Notes is OFF, the PaperPort – Scan dialog box lets you enter Subject, Author and Keywords manually. Only a document name appears – modify it if desired.

If Show Capture Assistant is OFF and Automatically apply Folder Notes is ON, the dialog box will not appear, but the item properties will be added. If both options are OFF, the dialog box will not appear and the item properties will not be added.

To add folder notes when scanning to PDF:

  1. Choose Scan Settings on the Desktop ribbon to display the Scan or Get Photo pane.

  2. Click the Settings button to display the Settings – Scanning Profile dialog box.

  3. Click the Output tab.

  4. Select Automatically apply Folder Notes.

  5. Select the checkmark Modify Document Name and Notesif you want to review the name and item properties for individual items after scanning.

Changes made for individual items are not written back to Folder Notes.

Each scanning profile has its own settings, so the above procedure should be repeated for each profile. By default the option Automatically apply Folder Notes is on for all profiles with PDF output; for other file types, it is not available.
