Properties of a PDF profile
General
Use the following procedure to configure the General properties.

Enter a
Name for the PDF profile, such as Customer Onboarding.
The name cannot be more than 50 characters.
- Optional. Enter a Description for the PDF profile, such as "Use this profile to generate PDFs for the Customer Onboarding documents."

To select the mode of generation of recognized text in PDF (PDF/A) format, select either option for
Text export mode:

Image only (default): Exports images only from a PDF file.

Text and images: Exports both text and images from a PDF file.
If using this mode, select the Add tags option; otherwise, the generated PDF may contain OCR data (text) with extra spaces between letters. For example, "A R R O W C O M P O N E N T S O L U T I O NS".

Select the
PDF version for the generated output PDF files.
TotalAgility supports the following versions of PDF:

PDF Version 1.7 (default)
These versions are cumulative. This means that the newer versions include all features from previous versions.

To make the output PDF files PDF/A-compliant, select the
PDF/A compliance for the selected version. (Default: None)
As part of PDF/A compliance, the PDF version is included in the file properties. PDF/A-3 requires features defined in PDF version 1.7. PDF/A-1 uses PDF version 1.4.
- To specify the document structure and allow the extraction of page content, Add tags to the PDF document. Tags are useful for identifying text and graphics, conversion to HTML and XML file formats, and interpretation by assistive software for the visually impaired.

Select a compression mode and configure it as required.

None (default): No compression is applied.

Standard: Configure the following settings as needed.
Setting Description Sensitivity This setting helps fine-tuning a balance between image quality and compression efficiency, especially for distinguishing foreground content from background during compression.
You can select sensitivity between 1 and 5.
A higher value indicates greater sensitivity of binarization, which affects how aggressively the image is analyzed and compressed.
Background quality This setting allows fine-tuning a balance between file size and background image clarity in the final PDF output.
You can select background quality from a range of 1 to 5.
A higher value corresponds to a better quality of the background in the compressed PDF, whereas a lower value increases compression but may reduce the quality of the background.
Picture detection When this setting is selected, the compression algorithm treats picture areas differently from text or background for optimal quality and size balance.
Picture detection quality This setting is only available when Picture detection is selected.
You can select the picture detection quality from a range of 1 to 5.
A higher value corresponds to a better picture quality in the compressed PDF, whereas a lower value increases compression but may reduce the quality of picture regions.

Enhanced: On the Quality list, select a compression quality.
Quality Description High Less compression, better image quality, and large file size. (Default)
Minimum Maximum compression, lowest image quality, and images may look blurry or pixelated.
Low Strong compression, but low image quality.
Medium Balanced compression and quality.
Maximum Least compression, best image quality, and larger file size.
Lossless Image quality is not lost at all. Only applicable to the Flate, CCITTG3/G4, JBIG2 formats.

- Click Save.
Resources
A resource with maintenance access permissions for the PDF profiles can add or delete resources or change the access permissions of resources to maintain the PDF profiles depending on the access types.
- Click on the Resources tab.
- Click under Maintenance access.
- On the Name list, select a group or individual whom to assign access permissions.

On the
Type list, select one of the following options for access.
Option Description Full control
Users with this access type can create, modify, and delete the PDF profiles, and set and modify the access permissions for other users. By default, the Everyone group has Full control.
Read write
Users with this access type can modify the PDF profiles but cannot change access permissions.
Read
Users with this access type can only view the PDF profiles; they cannot modify the PDF profiles or set and change access permissions for other users.

Click
Add.
The selected individual or group is assigned the maintenance access to PDF profiles.
- Click Save.
