Use this tab to specify lifecycle stages for your exported documents, a workflow for your exported documents, and distribution options.

Document Lifecycle

Use these settings to specify lifecycle stages for your exported documents. If lifecycles do not exist for the Documentum Server object type, these settings are not available.

Promote document to next lifecycle state (If document is already part of a lifecycle)

Automatically advances existing documents to the next lifecycle state. If selected, the other document lifecycle options are not available.

If the document is not promotable, it does not advance to the next lifecycle stage.

Document Lifecycle

Sets a lifecycle for your exported documents. If you specify a document lifecycle, you must set a state and an alias set for the lifecycle.

If you select this option, the documents should not already belong to a lifecycle.

State

If you specify a document lifecycle, you must set the lifecycle state for your exported documents. The default is the first state applicable for the selected document lifecycle.

Alias Set

If you specify a document lifecycle, you must set an alias set for your exported documents. The alias set identifies the users who can review, promote, or demote the documents in Documentum Server. The default is the first alias set available in the list.

Document Workflow

Use these settings to specify an existing or dynamic workflow for your exported documents. Notice that the workflow name is case-sensitive and must match an existing workflow template in the Documentum Server repository. To successfully start documents on a Documentum Server workflow, the logged-in user must have "relate" and "execute" access permissions to the Documentum Server workflow. The workflow name cannot exceed 254 characters.

Starting a document on two or more workflows is not supported. The document can only be sent to one workflow. In addition, leading and/or trailing spaces are not supported. If the dynamic workflow cannot be matched, it resolves to a NULL value at export time, or the document cannot start on the specified workflow, a warning message is written to the Kofax Capture error log, export module, and KDBLog (if enabled). However, the document is exported successfully.

Selected Template

Select this option to specify an existing workflow template to use for exported documents.

Browse button

Selects a workflow template using the Storage Object Browser window.

Clear button

Deselects a workflow template.

Dynamically Select Template At Export

Select this option to dynamically specify a workflow for exported documents. You can use Kofax Values, Index fields, Batch fields, and text constants to specify a workflow name. To do so, click the context menu button to display a menu of options for linking a Kofax Value for your dynamic workflow.

Document Index Fields

Displays a list of document index fields defined for the document class. If no document index fields are defined for the document class, this option is not available.

Folder Index Fields

Displays a list of folder index fields defined for the folder class. If no folder index fields are defined for the folder class, this option is not available.

Batch Fields

Displays a list of batch fields defined for the batch class. If no batch fields are defined, this option is not available.

Kofax Values

Displays a list of Kofax Values.

To use a text constant, enter the value to the field directly.
Distribution

Use these settings to specify users who should get copies of the exported documents in Documentum Server. The documents appear in each recipient's Desktop Client Inbox, and if Microsoft Outlook is installed, in the recipient's email inbox.

To

Sets the list of users and/or groups who receive copies of the exported documents. Use the Define button to select users and/or groups using the Send to Distribution List window.

Define

Adds or removes users and/or groups from the distribution list.

Remove All

Removes all users and groups from the distribution list.

Comments

Sends a note or comment to your recipients along with the exported document copies. Maximum length is 255 characters.
