Inspecting documents

Use the Inspection activity to examine documents, rearrange sub-documents and sheets, and classify or cancel documents.

Tip: To speed up loading of root documents, add a Process Images step before Inspection, and configure the Create thumbnails function to create thumbnail preview images. See XBOUND Help for instructions.

  1. Start the Inspection program by selecting Start menu > All Programs > ReadSoft > Capture Components > Inspection.

  2. The XBOUND Document Manager opens automatically. Select the root document in the list for processing and click OK. Alternatively, double-click the left edge of an item.

    Tip: Multiple root documents can be selected if Allow processing multiple root documents is selected in the Inspection settings.

  3. The first root document is opened in the Inspection client.

    • Under Thumbnails (left pane), sheets or documents that you select are given a blue background.

    • Under Details view (right pane), a detailed image of the selected sheet or document is displayed.

    The first thing to do is look through the root document under Thumbnails and ensure that the separations between the documents are correct. It is fastest to use your keyboard to do this (see Keyboard shortcuts in Inspection).

    • If you see two sub-documents that the program mistakenly combined into one, select the first page of the second sub-document and Closedclassify it:

      Select the correct document type in the Documentation type box or, if the type in the drop-down list is correct, select Current selection > Set document type. Alternatively, start typing a document name in the box and press Enter when the correct one is selected.

      This separates it from the preceding document. If one sheet is selected, all sheets and pages up to the next sub-document are set to the selected document type.

    • If you see two or more sheets that are mistakenly placed in the middle of a document, select them and classify them (see first bullet). Those sheets become one document (excluding previous and subsequent sheets). The sheets before and after the new document are now separate documents.

    • If you see a sub-document that the program mistakenly divided into two or more sub-documents, select them and classify them (see first bullet). This combines them into one sub-document.

    • When you are done working on the current document, the Inspection client automatically takes you to the next sheet or to the next invalid document (depending on how the Inspection activity was configured).

      You can also work through the root document using the Navigate commands, for example by moving from one document to the next or by selecting Next invalid document.

      Invalid documents—those with uncertain classification or errors in page logic—have a warning icon () on them. Hover over this symbol to view a message. There is often additional information in the status bar down below.

      ClosedTo select sheets or documents to manipulate:

      Click to select, or click while holding Shift to select multiple items. Alternatively, use these commands:

      Tip: You can also click while holding Ctrl to select multiple non-consecutive items. (It is not possible to select non-consecutive items using keyboard shortcuts.)

      The first and last pages have orange bars to the left/right of them, to show you the document boundaries.

      Selected items have a blue background.

      You can:

      ClosedMove (cut and paste) sub-documents or sheets:

      1. Select Current selection > Cut, or click the button ().

      2. Use the arrow keys or Tab + Shift to move the red line to the position where you want the document or sheet to be pasted.

      3. Select Current selection > Paste, or click the button ().

      ClosedConvert sheets into one-page sub-documents:

      This function is most useful when you are working on a root document that consists only of sheets (not sub-documents).

      1. Select one or more sheets and select Current selection > Separate into one-sheet documents, or click the button (). Each selected sheet becomes a new sub-document.

      2. If you opened a root document that contains only sheets, new sub-documents are Unidentified and there is nothing more to do.

        Otherwise, a drop-down list of document types is displayed. Select a document type. Each of the new sub-documents gets that document type.

      ClosedCancel a sheet or document:

      Select Current selection > Set cancellation flag, or click the button (). This excludes the sheet or document from further processing (for example, if it was scanned by mistake).

      If you cancel a document, all of its sheets and sub-documents are canceled, too.

      You can remove the cancellation flag by selecting Remove cancellation flag.

      When are sheets or documents with the cancellation flag actually deleted? This depends on how your XBOUND process is set up. Normally you would use a process rule to get documents with the cancellation flag and delete or export them. However, you can also view them in the XBOUND Split documents activity, if Check canceled documents is selected.

      ClosedRescan a sheet:

      Select Current selection > Set rescan flag, or click the button (). This adds a status to the sheet(s) that marks them as needing to be rescanned.

      You can remove the rescan flag by selecting Remove rescan flag.

      When are sheets with the rescan flag actually rescanned? This depends on how your XBOUND process is set up. Normally you would use a process rule to get documents whose media contain the rescan flag and take care of them in XBOUND Document Verifier or RCF Verification.

      ClosedUndo your changes:

      • To undo one action at a time: Click Undo () or use Ctrl + Z. You can do this repeatedly.

      • To undo multiple actions: Click the Undo arrow () to view a list of recent actions. The most recent action is at the top of the list. Select any action to undo that action and all above it.

      Adjust the display.

  4. When you are finished processing a root document, you can:

    • Click Save and close () to save the current root document but not route it to the next process step.

    • Click Save and route () to save the root document and route it to the next process step.

    • Click Close document without saving () to close the root document without saving any changes. The document stays in the same process step.

    When all documents are valid, the Inspection client might also prompt you to save and route the documents (this option is selected when configuring the Inspection activity).

  5. Click the Select documents to edit button () to select more documents to process.
