Create a Quick Workflow

Using the Quick Workflow, you can create a workflow with the help of tasks (manual activities), conditions, sub processes, custom service groups, branching rules and end nodes.

  1. On the Quick Workflows page, click Create new workflow. The Quick Workflow page opens in a new browser tab.

    Alternatively, click New if you are on the Quick Workflow list page.

  2. Configure the Workflow Details, Workflow, Key Data and Collaboration tabs to create a Quick Workflow.
    1. Provide workflow details.
    2. Create variables.
    3. Update workflow settings.
    4. Configure a workflow.
    5. Add key data.
    6. Add a collaboration note.

    If a red dot is displayed on any of the tabs, it indicates the configuration is incomplete or invalid.

  3. Save or publish the solution.

    To save the solution, click Save.

    The workflow is saved in the current user's working category with the version 0.01 (minor version). You can change the category if needed. See Update the workflow settings.

    To publish the solution, click Publish.

    • The workflow is published with a major version 1.0.0. A major version allows you to use the workflow for your business activities.

    • The business process is released and Create new job form, work type, work queue queries and job queries are generated.

    • These artifacts are named based on the Quick Workflow name with a suffix of the item name. For example, for QW1, the Create new job form is generated and saved as 'QW1CNJ.form'.

    If a process, form, work type, work queue query or job query exists with the same name, you are required to enter a different name.

  4. To close the workflow, click Close on the Workflow designer.

    On confirmation, the workflow is closed.

Create a Quick Workflow solution using Generative AI

You can create the workflow solution using the Generative AI functionality from the Quick Workflow designer without using the Copilot card available on the TotalAgility Apps Home page.

  1. On the Quick Workflows page, click Create new workflow. The Quick Workflow page opens in a new browser tab.

    Alternatively, click New if you are on the Quick Workflow list page.

  2. Click the Chat with Copilot icon in the bottom right corner.

    You are prompted to configure a Generative AI provider if you have not done so. Configure the AI provider and save.

    The floating Chat with Copilot window appears with the following message: "Welcome <username>, what type of workflow would you like to create? An example request might be "Automate the process for applying fo a home loan"
  3. In the Chat box, enter your request in one of the following ways:
    • Use plain text such as "Automate the process for applying for a home loan".

    • Use the attachment icon to upload images and files and then enter your request such as "Create a workflow using the image".

      • When you upload an image, a thumbnail is displayed, and the image content is passed as input to the provider. The image types of JPEG, PNG, JPG, GIF, and WebP are supported. If an unsupported type is used, an error appears.

      • When you upload a file, the text from the file is passed as input to the AI provider. The file types of .xml, .csv, .txt are supported.

      • When you request the AI provider to create a workflow solution based on the image, not all models support the use of images. Currently, the supported model is "gpt-4-vision-preview."

      • When you request the AI provider to create a workflow solution based on the uploaded file, the vision model is not supported.

  4. Click the Return icon or press Enter.

    The Copilot returns the following response:

    • A message: "A workflow has been created. Would you like to generate the solutions (forms, queries, and more) using this workflow or would you like to request changes via the chat, for example, add an additional task?"

    • The options to generate or start over the workflow.

    On the Workflow tab The workflow created by Copilot with the workflow name.
    On the Workflow details tab

    • The editable workflow name for the solution generated by the AI provider.
    • Read-only data.
    • All properties set to the default values for a Quick Workflow solution.

  5. Once a workflow is created by Copilot, you can do the following in the Chat window.

    Request for a change to the current workflow.

    1. In the box, enter, for example, "Add a step to notify on the loan application result." or select another image and request to recreate the existing workflow using the image.

    2. Press Enter.

    Generate the solution.

    Click Generate solution in the window or Generate on the ribbon bar.

    • The following message appears in the chat window: "Congratulations!!, your solution is now available. You will be redirected to the solution automatically in 5 seconds."

    • The newly generated solution opens in the Quick Workflow designer and is locked. You can modify and publish this solution like any other workflow solution.

    • An audit log entry is recorded that the workflow solution is generated using Generative AI.

    Enter a new request.

    1. Click Start over in the window. The current workflow is cleared.

    2. In the box, enter your request and press Enter.

    The AI provider creates a new workflow.

  6. To close the workflow, click Close on the Quick Workflow designer.
    The workflow solution appears on the Quick Workflows list page. if you started to create a Quick Workflow solution but have not saved or released it, you can still use Generative AI but the solution will be replaced once you save/release the solution.
