Add or update a collaboration note

A collaboration note is a multi-line piece of text that can be added to your workflow to collaborate with others working on the same workflow. For example, you can request items from IT by adding a note that they can address.

Notes are a great way of communication between a citizen developer and a technical developer regarding the solution.

You can add, and action a note within Quick Workflow, Quick RPA, and the advanced designer. A note added using either designer is added immediately without needing to save or release and unnecessarily increasing the version.

You can also add notes in TotalAgility Workspace (through Job viewer or from the workflow available on your dashboard.) A note added via the Job viewer or your workflow on your dashboard also appears in both the TotalAgility Designer and TotalAgility Apps. Once added, you can update a note in TotalAgility Designer or Quick Workflow. To learn how to update notes in the TotalAgility Designer, refer to "Update notes" in the TotalAgility Designer Help.

If there are any unactioned notes in a solution, an indicator is shown ensuring no notes are overlooked.

To add and update notes from your workflow, perform the following steps:

Add a collaboration note

You can add the notes only if you save or publish the solution at least once.

  1. On the Collaboration tab, click Add.

    The Add collaboration note dialog box is displayed.

  2. In the Note box, add the text that you want to add as a note.
  3. Click Add.

    The note is added to the Collaboration notes list. This list also includes any existing process notes for the process associated with the Quick Workflow.

    The following information about the note is displayed: the note text, who created the note, and the date on which the note was created.

    For actioned notes, the details such as who took the action, the date the action was taken, and any comment added for the action are displayed. If any unactioned notes are available, an indicator appears on the Collaboration tab. However, irrespective of the actioned or unactioned notes, you can save or publish the solution. You can take action on the note in the TotalAgility Apps or TotalAgility Designer.

    This note is also added in the TotalAgility Designer with the appropriate details. You can view the note on the Notes tab of the Modeling bar of the business process.

    You need not save or release the solution as the note is automatically saved once it is added. However, the solution must be saved at least once.

Update a note

You can update the note in Quick Workflow stating whether an action has been taken for this note.

The notes are only available to be actioned once the workflow is saved or published.

  1. On the Collaboration notes list, click the note.

    The Edit collaboration note dialog box is displayed.

  2. Change the note text if needed.
  3. Select Actioned.
  4. In the Comment box, enter a comment. For example, state the action taken for this note.
  5. Click Update.
