Configure a workflow
You can configure the flow of a solution using the Workflow tab.
By default, a Start node is added in the Designer area. From this node, you can add tasks, rules, conditions, sub processes, custom services, and other nodes such as RPA and Design to create a workflow.

On the
TotalAgility Quick
Workflow page, click the
Workflow tab.
A Start node is added and selected by default. A default name (Start) appears in the Title field. You can change the name for the node as needed.

Click
below the Start node.
The Add activity dialog box is displayed.

Add the following nodes as needed and configure them:

You can undo or redo to remove or reapply your changes for the nodes and their properties.

You can add or remove nodes at any point in the process.

Click
Add.
The node is added.
- Add an end node.

To use Capture functionality within your
Quick Workflow, do the following:

Click on the process (not the node).
The Properties panel for the process is displayed.
- On the Classification group list, select the required classification group.

Select
Initialize from scan.
To make your workflow capture-enabled, you must include one (not multiple) variable of either Document or Folder as initialization variable. Otherwise, the error is displayed when saving or publishing the workflow. For more information on "Initialize from Scan", see the TotalAgility Designer Help.

Click on the process (not the node).

Click
Publish on the ribbon bar.

The Create new job form is generated, and the generated form name is displayed in the Job creation form box. The Open form, Regenerate, and Clear options are displayed.

You can generate the form only if the solution is published at least once.

If the "Initialize from scan" checkbox is selected, instead of Create new job form, the Scan create new job form is generated.

If the data object initialization parameters change or a data object variable is added as initialized, then the "Regenerate" option is not available. You must clear the form name and generate again.

If you use a initialization data object variable, only the "Open form" and "Clear" options are displayed.
You can do the following with the generated form:
Open form
Opens a form in the TotalAgility Designer if you have access permissions for Quick Apps in TotalAgility Designer. For more information, see "Assign access permissions for Quick Apps" in TotalAgility Designer Help.
Regenerate
The form associated with the process is regenerated.
Clear
Prompts you that the associated form will be cleared.

If you select Yes, the form is deleted and the associated from property is cleared.

If you select No, the form is not deleted and only the associated form property is cleared. When you try to generate the form, the following error message is displayed: "A form already exists with the generated name, please provide a unique name". To generate the form with another name, enter a form name in the given box and click Generate.
The form is generated again with the unique name provided.

The items are created within the category selected in the App settings.

An activity form is generated for any task that is using a parent level data object variable as an input or output.

Any processes created as part of a Quick Workflow are made available for reuse within TotalAgility Apps.

The process generated is added to the Quick Workflow solutions list within TotalAgility Designer (System > System settings > Apps > Quick Workflow/RPA solutions).

If the process contains only one folder initialization variable, then the process is added to the Quick Capture list and also (System > System settings > Apps > Quick Capture).
