Manage a workflow

You can modify, delete, and lock or unlock a workflow and view associations for it from the workflows list page.

Modify a workflow

On the Quick AI Agents workflow list, click the AI Agent workflow to modify. Alternatively, on the context menu of the workflow, click Edit. Make changes as needed and save the workflow.

You can also modify a workflow solution in TotalAgility Designer.

Delete a workflow

You cannot delete a workflow that has live jobs associated with it.

On the Quick AI Agents workflow list, on the context menu of the AI Agent workflow to delete, click Delete. On confirmation, the selected workflow is deleted.

When you delete a workflow from Quick AI Agent, the process is also removed from the TotalAgility Designer System settings.

Lock or unlock a workflow

Locking and unlocking of a workflow apply only to the workflow, form (if the workflow is published), and the business process. You cannot lock or unlock work types, work queue queries or job queries.

Once the workflow is published, it is locked by default. To unlock it, on the Quick AI Agent workflow list, on the context menu of the workflow to unlock, click Unlock. To lock it again, on the context menu of the workflow, click Lock.

View workflow associations

Associations provide visibility across the entire application, helping you to manage and maintain your workflows efficiently. The associations of a workflow depend on its state. For an unpublished workflow, you can only view business processes associated with it; for a published workflow, in addition to business processes, you can also view Form, Work type, Extraction group, Classification group, Work queue, Job queries, and Form associated with the application if any.

On the Quick AI Agent workflow list, on the context menu of the workflow to view associations, click Associations. The items (process, form, work type, work queue query, job query, and Generative AI provider) that are using the selected workflow appears. Click the item to open for editing.

When you click the form, it opens in the designer with the following Copilot insights settings:
