Configure Email Notifications

To ensure that invoices in your workflow are processed in a timely manner, you can configure email notifications to prompt action in certain situations.

For example, you can send an email if an invoice has not been fully processed and its due date is approaching.

You can configure an email notification by following these steps.

  1. Open Kofax AP Agility and log on as an Administrator.
  2. From the menu, select Settings > Workflow > Email Notifications.

    The Email Notifications page is displayed.

  3. Select up to five scenarios for when an email is sent. Substitute the variables with appropriate values.
    • Send notification if an invoice has been owned for at least X hours.

    • Send notification if the invoice has been owned for at least X hours and it is Y days before the invoice due date.

    • Send notification if the invoice has been owned for at least X hours and it is Y days before a discount will be lost.

    • Send notification to email@address.com if the invoice is put on hold for more than Y days and X hours.

  4. Enter the Email Subject.

    Enter a subject. For example, An invoice requires your attention.

    Note The same email is sent for all types of notifications. Because of this, the subject and body must be as generic as possible.
  5. Enter an Email Body that explains the purpose of the email.

    Use the following variables to provide as much details as required for all selected notifications.

    Invoice date in the DD/MM/YYYY format

    Name of the vendor

    Invoice total amount

    [DueDate]

    Invoice due date

    [InvoiceURL]

    URL to the activity form that opens the invoice.

  6. Click Save.

    Your email notification settings are saved.

  7. Click Close.
