As you scan documents, the system creates document images that automatically enter the system and are processed by DOCUMENTS.
A scan operator monitors the paper feed process and the general quality of the thumbnail images as the documents enter the system. The main goal is to keep the process moving. Other operators can handle isolated poor-quality images later in the process. As you gain experience, you will know if image quality is not good enough for a particular solution. (If the quality is not good enough, see the suggestions further below.)
Some steps below depend on specific system settings. Please contact your administrator if you need more information.
Unfold the documents and remove any staples or other binding material.
If there are different production tasks for different types of documents, sort through the documents.
If you are scanning invoices, presort them based on buyer, invoice type, or whether the invoices are debit or credit.
Do not exceed the batch size recommendation.
If automatic document separation is disabled, place a blank sheet of paper before the start of each new document. This tells the system where a multi-page document starts and ends.
Align and straighten the papers by tapping and then fanning the pile of papers.
Place the documents in the scanner tray/feeder in the correct orientation. The documents should be supported on two sides by the paper guides.
Using the Production module, select the production task corresponding to the documents you are working with.
Confirm endorser values, if prompted to do so.
Specify the batch information, if prompted to do so.
If you are scanning invoices, you may be prompted to provide additional information.
When you are finished scanning, stop the production task.
A scan operator may need to correct scanning problems. The most common problem is a paper jam. A message displayed in the describes the situation. dialog
If the scanner is not connected or is switched off, connect or switch on the scanner, wait until it is ready, make sure there are documents in the document feeder, and start the production task again.
