Prepare Documents activity

This activity enables the XBOUND Preparation application to record the time spent preparing documents for processing. That preparation might include:

XBOUND Preparation can also create the documents in the XBOUND system and record which user performed the work.

The elapsed time and (if used) the employee's ID number is saved in the document data. You can view this information under History in the Documents area of the Process Monitor, for example.

Important: Work with XBOUND Preparation requires that the document names are unique in the entire XBOUND system.

Tip 1: Prepare Documents can be advantageously placed after a Register Documents process step and/or before an SLA Reporting process step. You can also register the documents without the Register Documents process step.

Tip 2: Additional options are available in the XBOUND Preparation Options dialog.

If for some reason you need to add this activity to the Process Designer, the file to add is xboundActPreparation.dll.

The following settings are available when configuring a process step of this activity type.

Clicking 'Cancel' deletes documents instead of setting cancellation flag

Determines what happens when the user clicks or taps Cancel.

If this option is selected, documents are simply deleted from XBOUND in XBOUND Preparation. Otherwise, a cancellation flag is set.

When are items with a cancellation flag actually deleted? This depends on how your XBOUND process is set up. Normally you would use a process rule to get documents with the cancellation flag (see Specifying which documents to route to a process step) and delete and/or or export them.

Create documents in this process step

Allows documents to be created in this process step.

The alternative is to register them before this step, using Register Documents.

Document type

If Create document in this process step is selected, select the type of documents to create.

These settings are also available:

Import button

Imports settings from an XML file that was previously created using Export.

Export button

Exports the settings to an XML file. Specify the file name and location. You can then import the XML file to get the same settings. See Exporting and importing process step settings.

Check regular expression link

Opens a test form, where you can (when applicable) check a regular expression.
