License decrementation

This topic describes some license types and scenarios where the licenses are decremented.

System license to allow anonymous users to create new jobs

The TotalAgility Limited Users system license allows anonymous users to create new jobs or get the properties of jobs in progress. The limited user license does not have a volume associated with it; instead has a one-off charge.

Station license for concurrent logging in

The TotalAgility Concurrent Full User station license is used when different users log on to the same system simultaneously. In this case, the system deletes one license from the available concurrent user licenses with each login.

When the same user logs on to more than one session (such as the TotalAgility Advanced Studio and TotalAgility Workspace) simultaneously, the system consumes two concurrent licenses.

Volume consumption is recorded for concurrent user licenses for a specific category for a given time span if the Record license usage system setting is selected.

Volume licenses decrementation

This topic describes scenarios where the Imaging Page Count volume and/or Transformation Page Count volume are decremented.

The TotalAgility Transformation Page Count Annual recurring volume license is decremented for each page processed by a transformation activity.

When annual recurring Transformation volume is purchased, 5% of that volume is additionally provisioned as non-expiring one-time use volume "TotalAgility Transformation Page Count - Reserve ". The system automatically starts using the reserve page count when the annually recurring Transformation volume is depleted.

The TotalAgility Imaging Page Count Annual recurring volume license is decremented.

When annual recurring Imaging volume is purchased, an additional 5% of that volume is provisioned as non-expiring one-time use volume, "TotalAgility Imaging Page Count- Reserve One Time Use." The system automatically starts using the reserve page count when the annually recurring Imaging volume is depleted.

The following are scenarios where the Imaging and Transformation volumes are decremented.

Imaging Page Count volume for core Capture activities

The Imaging Page Count volume in TotalAgility is decremented once per page for core Capture activities..

The Imaging Page Count volume is decremented in the following scenarios:

  • When pages are created using Scan create new job, Scan activity, Web capture control, Mobile capture control, File upload control, or MFP. Alerts related to user volume levels are also sent at this time.

  • When a page is ingested through Tungsten Import Connector, Tungsten TotalAgility SDK, ScanClient Scan clients, MFP, and the Web capture, File upload, or Mobile capture controls.

  • When a page is created through document conversion (such as converting a PDF or Microsoft Office document to pages) or image processing activities.

  • When a copy of a page or document is created through the SDK or other copy functions.

  • When CreateJobSyncWithDocuments or CreateJobSyncWithDocument API is used to retain documents.

  • When PDFs are generated (Imaging or Imaging and Transformation).

Imaging volume is not decremented in the following scenarios:

  • Image processing (when not creating new pages)

  • Bar code/Patch code/Fixed page separation

  • Transfer (Linked servers)

  • Exporting documents

  • Deleting documents

Transformation Page Count volume for an automatic Capture activity

The Transformation Page Count volume in Tungsten TotalAgility is decremented once per page for automatic Capture activities.

We recommend you always have at least one Transformation Page Count volume in your license, even if your processes or Capture projects are set up not to use it. This is because license checks occur before it is determined whether a process or project will actually use the Transformation Page Count volume. Having at least one Transformation Page Count volume ensures that processing can proceed smoothly, even if the volume is not ultimately decremented.

The Transformation Page Count volume is decremented in the following scenarios:

  • When a page is classified or separated using any method configured in the Transformation Designer. Transformation Designer.

  • When data is extracted from a page using any locator except the bar code locator.

  • If both a bar code locator and other locators are used on the same page, the Transformation volume is decremented, but the Imaging volume is not.

  • For Office documents (.docx, .txt, .xlsx), if the "All text" option is selected in the Extraction mode under PDF text extraction (see the Capture properties of the process), the Transformation volume is decremented. In this case, Office documents are first converted to PDF internally, and then text extraction is performed using the text layer from the original document.

    The Microsoft office formats are first converted internally into a PDF, and then text extraction settings are applied to the PDF. The text layer in the Word document is used for data extraction during further processing, as it contains the ideal text.

Imaging or Transformation volume for composite activities

A Composite activity decrements volume based on the combined effect of all the activities it contains. When you include an activity within a Composite activity that decrements either the Imaging Page Count or Transformation Page Count volume, then the corresponding volume is decremented for any pages that remain after the Composite activity is executed. In other words, only pages that are not removed during the Composite activity will cause the Imaging Page Count or Transformation Page Count volume to be decremented.

Transformation Page Count or Imaging Page Count volume for a specific category

Volume is decremented for a given time span for the category of the process of the job that uses the license volume.

Activities that do not decrement volume

The Imaging Page Count or Transformation Page Count volume is not decremented when you perform the following actions:

  • View a file, irrespective of the of the file format, in any TotalAgility viewer user interface.

  • Execute a field, folder, or document validation logic by a user action or by the SDK.

  • View, move, or classify pages in Validation, Verification, and Document review.

  • Transfer pages between sites.

  • Delete pages.

  • Export pages.

  • Import a document source file, which is not normalized to pages, through the Tungsten Import Connector in TotalAgility.

Volume for blank pages and separator sheets

Using the Tungsten Import Connector import functionality, you can configure a process to remove blank pages and patch code separator sheets before decrementing the Imaging Page Count volume, so you are not charged for unused pages.

  • If the blank pages are removed before the job starts, the volume is not decremented for the deleted pages.

  • If the first Classification activity after import uses a Separation profile configured to delete separators (with Bar code/Patch code separation), the separator pages are deleted. In this scenario, the Imaging Page volume is decremented because the volume is reduced before the separators are deleted. You cannot add a separation profile in the import setup the same way as the Scan\VRS profile for deleting blank pages. Separator pages are deleted; however, the volume of the deleted pages is not decremented by subsequent activities.

    The TotalAgility Transformation Page Count volume is not decremented if a document is classified by bar code or patch code separation.

Volume for adding documents to the knowledge base

When you add documents to the knowledge base, the system verifies the available TotalAgility Indexing Page Count Annual volume. If sufficient credits are available, the document is added successfully. The corresponding page count is then deducted from the user's allocated allowance.

Volume for submitting a prompt and searching the knowledge base

  • Tokens are deducted in blocks. one block equals 100 tokens (one unit). So if you use 102 tokens, only one unit is deducted from your TotalAgility LLM Token Count 100 Units Annual volume.

  • If you query the knowledge base through a form, 5,000 tokens (equivalent to 500 units) are deducted per request.

  • When you search the knowledge base using a "Knowledge discovery agent" activity, the actual number of tokens consumed is deducted from your allowance.
