Connection settings
IMAP URL: Fill in your email server's IMAP URL.
This is often mail.{domain}.com, for example, mail.office365.com. If you do not have this information, contact your IT administrator.
Port: Fill in your email server's IMAP port number.
-
For a standard IMAP email, use port 143.
-
For a secure IMAP email, use port 993 and select the This server requires SSL check box.
-
If your email server uses a custom port, enter that custom value instead.
Enter the credentials (username and password) of the mailbox to be monitored. Alternately, if you would like to authenticate your workstation with Windows credentials, select the Use Integrated Windows Authentication check box.
Click the Connect button to test your connection. If successful, you receive a Connection Success message.
Folders
Once you have connected successfully, you can select which folders to monitor within the monitored mailbox. To begin, click the Create button.
From the Create Email Folders dialog box, select a folder in the monitored mailbox. Alternately, you may create a new folder by typing in a new folder name. Doing so adds a new folder to your mailbox.
By default, a processed folder is created to move processed emails and prevent duplication. If you would like to specify a different folder, clear the Auto Create Processed Folder option and select the folder of your choice. Once complete, click the Save button to close this dialog box.
Processing
To adjust your processing options, be sure the File extensions field includes all the file extensions you may receive as attachments.
Common image file extensions, such as TIFF and PDF are included by default. You may add other file extensions, such as DOCX, XLSX, and PPTX by clicking the ellipsis (...) button.
Be sure to add one extension per line. File extensions should be in the format of "*.nnnn".
To process non-image files, such as Microsoft Office documents, be sure to have Enable support for importing Extended File Format files selected in the Capture workflow configuration.
Once complete, click OK to save the settings.
Processing type: Select how you would like to process emails. There are three options:
-
Email: This setting processes emails only and disregards any attachments.
-
Attachments: This setting processes email attachments and discards any emails.
-
Email and attachments: This setting processes both the email and its attachments.
Queue path: Select the Windows file path that PSIcapture uses to temporarily store and process emails and/or attachments. This path becomes the monitored directory that PSIcapture uses to capture emails and/or attachments.
-
Process Inline files as attachments if no attachments are found on the message: This option is enabled by default and is set to true on existing email monitored locations. If this setting is enabled and no standard attachments are found in the email, PSIcapture processes inline files in the email if any are present.
-
Do not process messages if no attachment are present...: Emails with no attachments that match configured file extensions are moved to the Not Processed folder. This option is only available if the Processing type is set to "Attachments" or "Email and Attachments". If no matching attachments are found, the email is moved to the configured Not Processed folder and processing of the message is aborted.
The Email processing engine can be adjusted to suit your needs. In most cases, the Aspose engine works best.
