Inspecting documents means carrying out the key steps of confirming and adjusting document boundaries, classifying documents, and confirming the structure of compound documents. During the Inspect activity, you manually resolve any uncertainties resulting from the automatic separation, classification, and grouping steps in the preceding Sort activity.
After you select a production task, but before you start your actual work, it is a good idea to create an efficient environment for inspecting documents. You may want to change how the program looks when you inspect documents. You can also:
The Navigation view is a great tool for getting an overview of the current batch, especially if it is a large one. Then, using the Thumbnail view, you navigate through the batch.
The Inspect part of the document flow. See the entire flow.
The first of Inspect's four sub-activities is Document separation. Here, uncertain document boundaries are displayed, and you can:
The next Inspect sub-activity is Document classification. Here you confirm or correct what each type of document is. In other words, you ensuring that each document is associated with the correct document specification. Using the Classify view, you check to see if the selected thumbnails match the document and compound document specifications that are shown. You can:
The third Inspect sub-activity is Document grouping, where you confirm and adjust the structure of compound documents (if any) in the batch. (Not every solution contains compound documents.)
You examine the boundaries of a compound document and decide if it is grouped correctly.
If it is grouped correctly, then you confirm the compound document structure.
If the compound document boundary is not correct, then you must determine which document or documents do not belong and move them out of the compound.
Remember that any problems might be related to the classification and separation of the individual documents that make up the compound.
All of the actions that you might need to take are described in Grouping compound documents manually.
The fourth and final Inspect sub-activity is Confirm sorting, an optional step in which an operator confirms sorting. Only batches that passed through automatic sorting without requiring any manual checking are included. Batches that go to any of the three above-mentioned sub-activities are not included.
An administrator can require confirmation of automatic sorting.
