Document search

Document search basics

Select the preferred repository and cabinet. Additionally, a specified template can optionally be selected. Once the Repository and Cabinet are selected, the following search criteria become active: Document System, Document Index, Folder System, and Folder Index, along with their corresponding criteria definitions.

Document System criteria

The Document System search criteria are based only on the content's intrinsic metadata (when the document was created/modified, extension, and so on). The document criteria include:

Criteria Name Description
Created by The user who created the document.
Created date The date the document was created.
Days back: created The number of days back the document was created.
Extension The document's filetype (as stored in PSIsafe), such as DOCX, PDF, TIFF
Modified by The last user to modify the document.
Modified date The last date the content was modified.
Days back: modified The number of days back the content was modified.
Keywords Keywords filled in the Keywords field.
Status The document's status within the workflow module
Filesize (KB) The size of the file.
Manager The content manager associated with the document, such as Adobe
Retention The stored content's retention (how long it must be stored)
Retention expired The date that the retention expired on the content.
Tab The tab that the document is currently assigned.
Title The title of the document.
Security class The document's security class as configured in PSIsafe Management.

To perform a document search, specify at least one search criteria based on an item, condition, and search value. Click Search to display the results.

Document Index criteria

The Document Index Criteria does not appear until a Template is selected.

The Document Index search criteria are based only on the content's preconfigured document indexes (configured in PSIsafe Management). The criteria are then based on these document indexes and the associated Data Type.

To perform a document search, specify at least one search criteria based on an item, condition, and search value. Click Search to display the results.

Folder System criteria

The Folder System search criteria are based on two major categories: the index values associated with that cabinet, and the folder's intrinsic metadata (when the folder was created/modified, folder status, and so on). The folder criteria include:

Criteria Name Description
Created by The user who created the folder.
Created date The date the folder was created.
Days back: created The number of days back the folder was created.
Modified by The last user to modify the folder.
Modified date The last date the folder was modified.
Days back: modified The number of days back the folder was modified.
Content Date The date when the content of the folder last changed.
Days Back: Content Days back related to content within the folder.
DBMS Key Database Management System key - The primary key stored in the database table.
Status The folder's status, which can vary from suspension to lock state or may be related to workflow.
Security class The folder's security class as configured in PSIsafe Management.

Performing a folder search requires at least one search criteria based on an item, condition, and search value.

Click Search to display your results.

Folder index criteria

The Folder Index search criteria is based on the configuration of folder indexes within PSIsafe Management. Conditions for each item vary based on the Data Type for each index field.

The item list available for search parameters is identical to the document criteria.
