Edit document data and records

To edit associated document-level indexing data for your content, follow the steps below.

Left-click to select the appropriate document within the PSIsafe Web Cabinets browser. If a document is associated with a template that has document indexes and line items configured, then the document records can be edited easily just below the document list.

Toggle the display of the Document Indexes and Line Items panes with the Indexes button at the top of the document list toolbar

Alternatively, once the appropriate document is selected, either click the Down Arrow and click Edit Document Data , or right-click the selected document and select Edit Document Data.

The Edit Document Data window appears. In this window, you can see the existing document records that have been used as input or saved during the filing process.

Title Pane

The title pane contains the Tab, Template, Title, Sensitivity, and Retention.

Tab

Tabs are configured in the Cabinet configuration of PSIsafe Management. Tab configuration applies across all folders within that cabinet.

Template

Templates are configured in the Templates area of PSIsafe Management. Note that templates will restrict the type of files that can be imported, as the manager associated with the filetype must also be associated with a given template.

Title

Titles can be input manually, or, by checking the box Enable automatic title updating from index values the user can simply input indexes and the title will form accordingly. Naming parameters can be altered in PSIsafe Management in the Document Title Editor section.

Sensitivity

Sensitivity determines the document's security class and which users or groups of users can access the document based on this classification. Security Classes and corresponding access can be configured in the Access section of PSIsafe Management.

Retention

Retention determines how long a document must be stored within the system to maintain company compliance policies. Retention settings are configured in PSIsafe Management.

Document Records Pane

Document Records are configured by Data Type in PSIsafe Management. This Data Type determines the type of field in which metadata can be populated as content is imported or created in PSIsafe Web.

Document Indexes Pane

Document indexes have their associated entry fields based on the Data Type and configuration with PSIsafe Management. For more information on types of Document Indexes, see Types of document records. You can edit existing records by clicking the relevant field within the Document Indexes pane. Here you can manually type required data, or select a value from a dropdown list, calendar, etc. Fill out the content as needed, and either move on to Line Items below, or click the Save button to complete editing.

Line Items Pane

The Line Items pane contains all the line items associated with the document. Line items are a type of document index configured in PSIsafe Management. Depending on the Data Type configured, different field input options will be available.

  • To add an additional record, click Add in the upper left corner of the Line Items pane.
  • Click the edit button to edit an existing Line Item.
    • When you are finished editing the line item, click the save button to save your changes.
    • Click the cancel button to cancel your changes to the line item.
  • Click the delete button to delete an existing Line Item.

When you've completed editing any document data, select the Save button.
