Create a group

A group is a collection of one or many individuals.

You can create groups within groups. When a task is assigned to a group, any resource from that group or subgroup takes up the task.

For example, in a financial company, three worker groups each have expert resources, called Financial Analysts, Business Analysts, and Cost Analysts. If required, you can add the Business Analysts and Cost Analysts groups to the Financial Analysts group. Any task assigned to the Financial Analysts group is available for the members of all three groups.

  1. On the Administration menu, click Manage Resources.

    The Resources page appears where you can view the list of resources with their resource type, name, and email address.

  2. Click Create and then click Group.

    The Resources - Create Group page appears.

  3. On the Group Resource tab, configure the following settings.

    Name

    Enter a user name for the group.

    Category

    Select a category.

    Supervisor

    Select a supervisor for the group.

    When assigning a supervisor to a group, verify that no member of the group has a higher managerial level than the supervisor being assigned.

    Work Allocation Rule Settings

    Associate a work allocation rule with a group.

    1. Click Select.

    2. On the Category list, select the category where the required rule is available.

    3. Select the rule and click OK.

  4. Add group members.
    1. Click the Group Members tab.
    2. Drag the required resource from the Available Resources box to the Selected Resources box.
    3. Before selecting the resources, you can filter your search.
      • If you know the name of the resource or group, enter the name in the Find Resource box and click Go.
      • To search for a resource by category, supervisor and group, click Advanced Search, select the option to use, and click Search.
  5. Provide additional information.
    1. Click the Additional Information tab.
    2. Configure the following settings.

      Email Address

      Enter the email address for the group.

      Skill and Security Settings

      • Security Level: To enable the completion of an activity according to the security level of the group, modify the default security level.

      • Minimum Skill Leveland Maximum Skill Level: To enable the skill levels to be considered when assigning tasks to the group, modify the minimum and maximum skill level.

        The skill level range falls between 1 and 10, with 1 being the highest skill level and 10 the lowest. The more skilled the resource is, the lower the skill value is. By default, the minimum skill level is 10 and the maximum is 1.

  6. Click the Resource Extensions tab and configure the extension fields as needed. The Resource Extension fields are the additional information for all resources defined at the system settings in TotalAgility.   7. Click Save.
