You add fields to the document to collect information from signers.

Add fields to a document

Select the signer and add fields by dragging them from the panel into the document body. The following field types can be added:

  • Signature fields
  • Text fields
  • Check boxes
  • Initials fields

Signature fields, text fields and check boxes can only be added for recipients with the signer role.

Fields can be moved by dragging and resized using the field edges. A field can be deleted from the action toolbar, context menu or field properties panel.

Basic properties for all field types:

  • Assignment to a signer
  • Label for the field
  • Tooltip text
  • Setting the field as required

Assignment to a signer could be made for a signer from the list or for ‘Any’ which means that this field could be signed by any of listed signers.

Label for the field is used for tracking fields in the document. The list of fields could be viewed in package info in the document tab. See View package details.

Tooltip text is shown for the signer up to the signing field. It could contain some significant information for signer that would be shown for him before signing.

Required switch specifies if the field is obligatory or optional for signer.

The following signing methods are selectable in addition to the basic properties:

  • Signature. See also Handwritten signatures.
  • Photo capture
  • Click-to-Sign
  • Signature image
  • Stamp image
  • TSP signature (only visible if a TSP provider is configured for the signer which supports signing a signature field with a TSP signature)
  • Personal certificate

When no Personal certificate is used, the installed certificate is used. See information about the signing certificate in Signing documents.

To retrieve a Personal certificate the SignDoc Device Support setup and a corresponding certificate plug-in must be installed on the client computer.

Appearance options

Similar to the signing methods, there are different options for how the signer can capture the appearance of a signature field when signing with a personal certificate.

The following signing appearances are selectable:

  • Signature. See also Handwritten signatures.
  • Photo capture
  • Click-to-Sign
  • Signature image
  • Stamp image
  • Default (the appearance of the signature field is set automatically by the installed software on the signer's computer)

Text field

Use text fields to collect user text input. In addition to basic properties, you can also set these options:

  • Set field as read-only
  • Single or multi-line
  • Maximum length
  • Set the initial field text

Initials fields

Use initials fields to capture the initials of a recipient. This field type only uses the basic properties.

Assigning fields to a stage

When the routing option Complete in custom order is used, fields can be assigned to an existing stage. Fields assigned to a stage can be signed by all signers of the stage. Once such a field is signed it can't be signed by any other signer anymore. When all required fields are signed the stage is completed and any remaining signers are skipped.

When a required field is assigned to a stage, it is only required for the last signer of the stage. For the previous signers of the stage, the field is marked as optional in their signing sessions and their required action is shown as Review though signing is available for them.

The prepare document view provides the existing stages in the field assignment dropdown for selection.

Fields assigned to a stage appear in grey, having a stage icon on the upper right. Fields assigned to a stage can be edited like fields assigned to a signer.

All the field settings' changes should be saved by clicking the Save button.

TSP signature overlay image

Depending on the TSP provider, an overlay image can be configured for the TSP signature signing method. This overlay image is displayed on signature fields instead of the default signature field style when TSP signature is selected as signing method. When preparing the document, a preview of the overlay image is displayed in the corresponding signature fields to see how it is shown later in the signer's signing session. Per default, the overlay is displayed when TSP signature is the only available signing method of the signature field (TSP signature is required). An administrator can change this in the configuration so that the overlay is also displayed when TSP signature is one of the available signing methods (TSP signature is optional).

The overlay image is rendered into the signature field dimensions by keeping its aspect ratio.

The preview of the overlay image is not supported in Safari and Internet Explorer.

The Done button accepts the changes and brings the user back to the documents and recipients page.

Context menu and actions toolbar

Some context-specific actions are available in the context menu and in the actions toolbar on top of the document.

The context menu can be triggered via right mouse click in the document or in the page/field list of the left sidebar. Some actions can also be triggered via keyboard shortcut. See list of actions below.

On touch devices, the context menu is triggered via touch-and-hold (long-touch) gesture.

The following actions are supported:

  • Copy field (keyboard shortcut Ctrl+C or Command+C)

    Copies the selected field into the clipboard. The clipboard lives as long as the current browser session exists.

    The label, tooltip and internal ID attributes of the field are not copied.

  • Paste field (keyboard shortcut Ctrl+V or Command+V)

    Pastes the field from the clipboard as new field into the document. The label of the new field is automatically recalculated to make it unique inside the document. Depending on from which the action is triggered the position of the new field varies.

    In case the width or height of the added field will be out of (page) bounds, the new field "snaps" to the next possible position (like it is done when dragging a field manually out of (page) bounds).

    Because the field in the clipboard can be used in different packages, some checks are implemented to avoid adding an invalid field to the document.

    Assignee checks:

    • Does assigned signer exist in package?
    • Does assigned stage exist in package?
    • In case field is assigned to stage:

      Is package routing order "Complete in custom order"?

    If an assignee check fails, the new field is added unassigned and the user must assign the signer/stage manually.

    Signature field check:

    • In case signing method "TSP signature" is selected:

      Is "TSP signature" signing method valid in package?

    If "TSP signature" check fails, this signing method is unselected in added field.

  • Actions toolbar or keyboard shortcut:

    If a field is selected, the new field is positioned over the selected field.

    If no field is selected, the new field is positioned in the middle of the document viewport.

  • Context menu over document:

    The new field is placed at the position from where the context menu was triggered (position of right mouse click or touch-and-hold gesture).

  • Context menu over left sidebar:

    The field is positioned on top left of selected page.

  • Duplicate across pages

    Creates replicas of the selected field in the same position across the following pages. This action is only available for multi-page documents.

  • Delete field

    Deletes the selected field after user confirmation.

On tablets the actions toolbar is hidden in portrait mode for usability reasons.
