Scanning documents

The following procedure demonstrates a simplified method to begin scanning documents.

  1. Use file import or make sure that you have at least one scanner connected.
  2. Open the Scan Create New Job form.
  3. In the toolbar, select View or Change Scan Settings
  4. In the Scanner Settings tab, confirm the selected scanner and profile.
  5. Verify the remaining settings on each tab.
  6. Click OK.
  7. Put one or more sheets in the scanner.

    Depending on the type of scanner this could be a flatbed or an automatic document feeder.

  8. In the toolbar, click either Scan One Sheet or Scan All Sheets.

    After the documents are scanned, they appear as thumbnails in the Multi-Document Thumbnail Viewer. Depending on your workflow requirements you can perform a number of task such as editing and verifying data.

    When you scan a large number of documents and accidentally close the browser, navigate away from the form, or wait for too long, the scanned documents are lost. To prevent this, you can resume the abandoned sessions to preserve the scanned data for an extended period. This allows you to resume scanning when you reopen the form. When you open a Scan create new job form, a "Resume an abandoned session" pop-up appears at runtime, prompting you to select one of the previously abandoned sessions. The list contains the name of the scan form, a time stamp, and the number of documents, which can help you find the session you need.

    You can do the following in the "Resume an abandoned session" pop-up:

    • Upon pressing OK with some selected session, you can view the Scan create new job form with the documents and pages from that abandoned session. Such session loses its 'abandoned' status unless you abandon it again.

    • If you press Cancel, an empty Scan create new job form appears.

    • Each session has a Delete button , upon pressing which the session disappears from the list. If all the sessions are deleted, an empty Scan create new job form appears.

    • If you want to view other sessions, you can leave the current one and reopen the form by pressing the reload button on the page in the browser.

    • The sessions are filtered to display only the TotalAgility user sessions for the specific form. Any sessions where you did not create any documents are automatically removed if you leave the form without taking any action. If you resume a session, the reporting data is transferred from previous session.
