Set the threshold for a primary server

You can set threshold values for a primary server so that you receive alerts when a certain number of primary licenses are used or when a term license is about to expire. You can then take corrective actions before running out of volume.

You can set the thresholds for the following items:

  • Concurrent full users (Default: 100)

  • Concurrent full users - reserve (Default: 100)

  • Imaging page count (Default: 10,000)

  • Imaging page count - reserve (Default: 10,000)

  • Transformation page count (Default: 10,000)

  • Transformation page count - reserve (Default: 10,000)

  • LLM token volume count (Default: 240,000)

    Monitors Tungsten LLM token usage for Generative AI, Copilot for Development, and Copilot for Insights. This setting does not apply to Copilot for Extraction and OCR.

  • License expiration (days)

Reserve licenses can be used in any environment. However, they cannot be allocated to tenants in an on-premise multi-tenant environment. Therefore, reserve licenses do not appear in the list of licenses in TotalAgility Designer, and you cannot set the thresholds for reserve licenses in the Designer for an on-premise multi-tenant environment.

  1. Navigate to System > System settings > License servers and statistics > Primary server statistics.

    The Primary server statistics dialog box is displayed with the license name, start date, expiration date, available licenses, and maximum licenses details.

  2. Select the Thresholds tab.
  3. Select the license type (default: Clear, which means no alerts are sent) and enter or increment the license threshold value. For example, to receive an alert when 9,000 of 10,000 licenses are used, set the threshold value to 9,000.
  4. To specify the number of days before license expiration when the alert should be sent, select License expiration (days) and decrement the value. (Default: 60 days)

    If any term licenses in the system are due to expire within the specified days, an exception is raised. For example, if a user has a 3-year term of imaging volume, the alert for imaging volume would be based on the end date of the 3rd year. For 'reserve' user licenses, the exception is raised only based on the license term, not on the reserve occurrence.

  5. Click Save.

    When the Monitoring system task runs, the system checks the current usage of each license type.

If the current usage exceeds any of the threshold values set, the license volume threshold alert is raised, and a new job is created for the process map configured. See Exception maps and initialization parameters.

When a license is depleted, the system automatically starts using the reserve licenses. If you log in with a reserve user license, a message appears that a reserve license is in use. If licenses run out, a message is displayed, preventing you from logging in.

If the volume license runs out after you open a Scan activity, you can still create a job, complete the activity, and save any scanned pages. This can happen if the license has only one page of volume left, and you scan more than one page, or, after you enter the activity, another user completes an activity, the available volume is reduced to zero.

You can send an alert in the following scenarios:

  • When the sum of the one-time use and annually recurring transformation volume reaches the threshold defined in the Transformation page count.

  • When the sum of the one-time use and annually recurring imaging volume reaches the threshold defined in the Imaging page count.

  • When the sum of the one-time use and annually recurring reserve transformation volume reaches the threshold defined in the Transformation page count - reserve.

  • When the sum of the one-time use and annually recurring reserve imaging volume reaches the threshold defined in the Imaging page count – reserve.
