Add GL account structure

You can provide a user-friendly set of GL codes for your users. The ensures that they are not forced to memorize lengthy or complicated GL codes. Each Organization can have its own GL account structures applied. This means that users processing those invoices see the structures required for that organization.

You can add a GL account structure by following these steps.

  1. Open the Kofax AP Agility workspace as an Administrator.
  2. From the Settings menu, select GL Account Structures.

    A list of existing GL account structures is displayed. If there are no structures configured, this list is empty.

  3. Click New.

    The GL Account Structure - New window is displayed.

  4. Enter a unique Structure Name.

    Use a name that is easily understood by your users and other Administrators.

  5. Enter a Description.

    Even though this field is not mandatory, it is recommended that you provide a helpful description so that other users understand the purpose of this structure.

  6. Enter a Segment Separator.

    This separator is displayed between the various code segments to indicate the start and end of a code.

    For example, - or ;.

  7. Click Save.

    Saves your current GL account structure and a message is displayed below the table indicating that the GL structure is created.

    Note If you do not save the Structure Name, Description, and Segment Separator, you cannot add individual segments.
  8. To add an individual segments, perform the following steps.
    1. Select a Segment from the list.

      Start with Segment1 and proceed in numeric order for additional segments.

    2. Enter a Visible Name.

      This is the segment name that is displayed to users during Coding.

    3. Click Add.

    Your segment is added to the table above.

  9. Repeat the previous step until you add all of your segments.

    Kofax AP Agility supports a maximum of 15 segments.

  10. Click Close.

    Your segments are saved, you are returned to the GL Account Structures page, and your structure is now listed in the table.
