GL code history retention

When an AP Agility Workflow user codes a line with a new GL code, this is saved in the history database automatically. Over time, it is possible that one or more GL codes in the history database are added and then never used again. To remove these unused entries it is possible to configure how long a GL code is kept in the database. This ensures that your history database does not keep data that is old and no longer needed.

You can configure the GL code history retention period by following these steps.

  1. Open the Kofax AP Agility workspace as an Administrator.
  2. From the Settings menu, select Administration.

    The Administration settings are displayed.

  3. Select the Workflow Variables tab.

    A list of Workflow Variables is displayed.

  4. Select the GL Code History Retention variable and then click Edit.

    The Edit Variable window is displayed.

  5. In the Edit Variable window, modify the Variable Value as needed.

    This value is set to 90 days by default. This means that when the GL code history cleanup job runs, it deletes any GL codes that have not been used in the last 90 days.

  6. Click Save.

    The GL Code History Retention value is updated.
