Put a document on Hold

It is possible to apply a Hold activity on document that is in the Approval activity, Coding activity, or the Exception activity. Applying a hold on a document prevents it from moving to the next step in the process. Nothing can happen to the invoice until the hold is removed.

You place a document on hold if it cannot be processed. For example, the vendor is unknown. You can pause the document and resolve the issue outside of Kofax AP Agility via emails and the telephone. Once the issue is resolved, release the hold on a document.

Email notifications are sent to ensure that a document is not on hold indefinitely.

A document with a Hold activity in one of these activities is indicated in the work queue by adding (Hold) to the document. For example, Approval activity (Hold)

You can put a document on hold by following these steps:

  1. Open a document in the Hold activity, Coding activity, or Exception activity.
  2. From the action bar, select Hold from the Routing Option list.

    The Put Invoice on Hold window is displayed.

  3. In the Put Invoice On Hold window do the following.
    1. Select a reason for the hold from the Hold Reason list.
    2. If enabled, enter why you are putting the document on hold in the Comments field.
    3. Click OK and Submit to close the document and put it on hold it immediately.

      Alternatively, click OK to return to the document without submitting it immediately. The document is put on hold only when you click Submit.

    The document is closed and put on hold. This is indicated by adding (Hold) to the document in the work queue. For example, Coding activity (Hold). The selected Hold Reason and any comments are stored on the invoice History tab.
