Using barcodes for document separation or batch separation

Closed

You configure how batches and documents are automatically separated during the scan process. Multiple barcodes can be used for different things in the same scan profile, as described below.

Tip: You can also use blank pages or use image count for document separation, or create a new batch after a fixed number of documents. Different methods can be used together. Example:

Configuration

  • Create a new document every three pages.

  • Create a new document when the barcode value "Page1" is found.

Scanned pages

  • ContentPage1

  • ContentPage2

  • ContentPage3

  • ContentPage4

  • ContentPage5 with barcode "Page1"

  • ContentPage6

Result

  • Document 1:

    • ContentPage1

    • ContentPage2

    • ContentPage3

  • Document 2:

    • ContentPage4

  • Document 3:

    • ContentPage5 with barcode "Page1"

    • ContentPage6

Use this procedure to use barcodes for separation

  1. If you have not already done so, configure barcode detection.

  2. Still in the Scan profile management dialog, right-click the scan profile and select Document structure. This opens the Batch and document splitter dialog.

  3. Use these procedures:

    1. To generate a new batch when a specific barcode is detected, drag New batch – header from the left pane to the right pane. Optionally, previously created batches can be closed automatically – see Closing batches automatically when they are complete.

    2. To generate a new document when a specific barcode is detected, drag New document – header from the left pane to the right pane. The sheet with this barcode will be the first one in a document. All subsequent sheets are assigned to this document until the next such barcode is detected.

    3. To specify that a barcode marks the last sheet of a document, drag New document – trailer from the left pane to the right pane. The sheet with this barcode will be the last one in a document. The next sheet will start a new document.

  4. Click under Type of Barcode and select barcode type in the dropdown list that appears. (See Supported barcodes.)

  5. Under Regular expressions/value, type a regular expression that specifies a valid barcode value.

How to type a regular expression is beyond the scope of this help. However, it is described on Wikipedia, for example.

  6. Recommended: In the Check the selected expression box, type a barcode value. The value is compared to the expression that you typed, to see if they match.

    Example of regular expression: ^[A-Z]{2}\d{18}[A-Z]{4}$

Example of matching barcode value: BE094109070800001234DEIN

If the two match, a green check mark () appears after the edit box. If not, a red warning icon appears ().

  7. Repeat steps 3 – 6 for each barcode that you want to use for document or batch separation in this scan profile.

  8. If needed, change the order of the listed barcode separators: Select a row, then click and drag the arrow symbol () to move the row into a different position.

  9. Optional: Use barcode values in batch names.

  10. Important: If you did step 3a above, open the Configuration dialog > Batch settings and ensure that Split batch allowed is set to True.

Tip: To check whether barcode detection is working correctly, view the properties of images after scanning.

Troubleshooting: Batch name is "{BARCODE}"
