Batch Capture Template File Mode

The Batch Capture Template File Mode is designed to quickly select different templates, with their corresponding display icon, in order to expedite the import and filing process. Template File Mode differs from Manual File Mode or Auto File

  1. Click Batch capture in the PSIsafe Desktop module navigation menu in the lower-left.
  2. Select the Template File Mode option in the top navigation menu.
  3. Import content by using File > Open or Scan from the top navigation menu, or by dragging content from File Explorer into the import panel in the left-hand side.
    Documents that have not completed the filing process appear automatically in this import panel.
  4. Select the Folder.
    Alternatively, to expedite the filing process, you can select Set Active Items in the top navigation menu to automatically populate the folder field based on the last folder and tab you browsed in the Cabinets browser.
  5. Select your filing template in the Managers and Templates panel.
    Only valid templates and managers associated with the imported filetype appear by default within this panel.
    Check the box for Restricted Templates to display templates only associated with your specific cabinet, folder, and tab.
  6. Fill in your Document Records through the document index and line item fields of your preconfigured template and click Add to add a record.
    Select the Continuous Add checkbox to automatically begin a new Document Record when clicking Add. Multiple records can be added to any document.
  7. Fill out the following optional fields as necessary:
    • Keywords: Enter the keywords that will help you to search for the documents later using the Search feature..

    • Select the File document as an attachment check box to attach the content being filed as a child document of an existing document. The Pick Document window appears and allows you to select an existing document within the list.

    • Select the Schedule item? check box with a corresponding due date. The Schedule item window appears. For more information, see Scheduler.

  8. Select File Document to complete the filing process.

Set up Batch Capture Template File Mode

Only templates that meet certain criteria appear in the Batch Capture Template file mode. A PSIsafe administrator must first create a document template in PSIsafe Management and verify its compatibility via Templates > Batch Validity.

Select the template you wish to check, then select Batch Validity. Select a user you wish to test, and then select OK. If your template does not meet the setup requirements, an error message appears stating the required criteria, which are as follows:

  • Only one tab must be defined in the Restrict Appearance section.
  • Only one Manager (PDF or TIF) must be set.
  • Only one extension (PDF or TIF) must be set.
  • If a User or Group restriction is used, the user or group must be defined accordingly in the Restrict Appearance section.

To set up a valid template for Batch Capture Template File Mode:

  1. Create or edit a document template in Templates section of PSIsafe Management, and verify that it meets the specific criteria noted above.
  2. Create or copy a sample document that has the most standard layout expected for the imported documents associated with this template. Some common examples are: expense form, invoice from a specific vendor, vacation request, etc. This document must be located in an accessible directory and will be used in a later step.
  3. Select a Template Image to allow users to quickly identify this Template within the Batch Capture interface. A PSIsafe Administrator can associate this image in PSIsafe Management. See Templates in the Tungsten PSIsafe Administrator Help.
    Template Images, Managers and Descriptions are sortable columns in the unique Template File Mode interface. Drag one of these columns onto the bar immediately above to sort accordingly.
