Work with documents

Open the folder to view the list of documents.

Select the documents and tap the information icon to the right of this document to view information about this particular document.

Tap the document icon to view the list of action items.

  • Open In is a way to export a coy of the document.

    Select the preferred application to export the document. Tap Save to save the copy of the document to the preferred application.

  • Checkout edits documents.
  • Folder Information: Displays information about the selected folder.
  • Document Information: Displays information about the selected document.

  • Trace displays information about the document status in workflow.
  • Preview Document: Displays the first page of the document.

    To view the whole document, tap the document title.

  • Route enables you to send the document into workflow.

    Tap Pick Rule to open a preconfigured list of workflow rules.

    Tap User/Group to select a user or a group.

    Enter a note in the Notes field if applicable. You can see this note in the trace information. To enter a note, click the pencil icon to the right of the notes field. Tap Done, and your note appears in the Notes field.

    Tap Route at the bottom of the screen. A confirmation message appears.

    A route icon appears on top of the document icon.

  • Favorite saves the document as a favorite or bookmarks it.

    A star appears on top of the document icon. To remove a star, tap the document icon and select Favorite.

You can search the documents by entering some characters that might be contained in the document title you need in the search field. Tapping Search pulls up the results.

A paper clip icon to the right of the document means that this is a parent document and has other documents attached to it.

Search for documents

Tap the menu button at the top left of the screen and select Search. Tap the gear icon to configure your search. You can search through the Folder Indexes, Document Titles, or Document Text. Select the preferred search option.

By default, the limit results is set to 50, but you can change it by entering the preferred number.

Enter the key characters and tap Search. The list of the documents appears. Tap the information icon to view the document information, such as where the document is filed.

Preview documents

In the preview mode, tap the document and the first page of the document opens for a preview.

Tap the preview settings gear icon to configure the preview mode appearance.

Another option to open preview is available. On the Documents screen, tap the documents settings gear icon and select Use iOS Previewer. Tap the preferred document, and you can preview all the pages of the selected document.

Edit documents

To edit a document, tap the document icon and select Checkout.

Select the appropriate application manager to check out the document. Use the manager tools to make edits on the document. After the edit is complete, tap Done and select the share icon. To check in the document, select Copy toPSIsafe Desktop. A confirmation message appears.

Import documents

The following ways of creating or importing a document into the PSIsafe Desktop Mobile App are available.

Tap New, located to the right of the document search field. An Action list appears.

  • New: Generates new documents from the templates.

    Select the preferred template that has the document creation option.

    On the Specifications screen, select the appropriate tab, sensitivity, and retention.

    Tap Next. Confirm the title.

    On the Confirm screen, you can add the keywords if applicable, or change the document title.

    Tap File. A confirmation message appears.

  • Import From Tray: Opens the tray list.

    Select the preferred document and tap the document icon. The Action list opens.

    Select Open In. The Pick Template screen appears.

    Select the preferred template. On the Specifications screen, select the tab, sensitivity, and retention.

    Tap Next. The Title screen opens.

    The <Idx2> field contains the folder index name. Add the date if applicable.

    Tap Next. The Confirm screen opens, where you can add keywords and select an option to delete this document for the tray. Tap File. A confirmation message appears.

  • Take Photo: You can take a live photo using your device camera.

    For example, you can take a photo of the receipt to add it as an expense report.

  • Import Multiple: Imports multiple photos from your device.

Import email attachments

To file an attachment that you have in an email, open the email, select an attachment, and tap the share icon. Select Copy to PSIsafe Desktop. This action puts the attachment in your PSIsafe Desktop mobile tray. A confirmation message appears.

In the PSIsafe Desktop application, tap New located to the right of the search fiels.

Select Import From Tray from the Action list. Select the item you want to file. Select an appropriate naming template, configure the tab, sensitivity, and retention. Check the date and confirm the document name, checking the options, adding the keywords, and selecting the Delete From Tray option if applicable.

Tap File to complete the filing process. A confirmation message appears.
