Batch Capture Read Location Setup

When filing documents in Batch Capture, templates can be set up in such a way that TIF images can populate a variety of information automatically or with minor manual assistance. This functionality applies to both Manual File mode and Template File Mode. To open the dialog window to configure a Zoom, OCR, or Barcode reading, double-click on the document index field name while in Manual or Template file mode.

The Read Location Setup window appears. There are three different options presented when configuring a naming template for this operation:

  • Auto zoom location: Automatically zooms to the specified area when the corresponding document index field is selected.
  • Auto OCR location: OCRs the specified area and inserts the results into the corresponding index field.
  • Read barcode location: Reads the specified area for a barcode and inserts the value in the corresponding index field

Auto zoom can be combined with OCR or Barcode reading. Predetermined areas for Zoom and OCR are configured separately to accommodate zooming to one area, and then to OCR a more narrowly defined area.

Set up Auto zoom location

Auto zoom location is a feature that allows the preview window to automatically zoom to a specific page region when you click an index field. Based on your custom configuration, the region could zoom in on important aspects of a document that contain the relevant information. For example, a template associated with an invoice for a specific vendor would then zoom in on a region of an imported document when the corresponding template and the index field were selected. This enables easy input of an invoice number as a document index field.

  1. Double-click any document index field name.
    The Read Location Setup window appears.
  2. Select the Auto zoom location checkbox.
    A file browser window appears.
  3. Select a template TIF image that corresponds to your currently selected document template and select Open.
    The selection window appears.
  4. Left click and drag to select a region that automatically appears in the preview window when the index field is selected.
    • Select Close to cancel and return to the previous window.
    • Select Zoom to adjust the zoom level of the current document.
  5. Press Select when the appropriate zoom location is highlighted.
  6. Select Save to complete to save your Auto zoom location.

Setup Auto OCR location

Auto OCR location is a feature that allows PSIsafe Desktop to use Optical Character Recognition on the document to translate text within an image and fill out your selected document index field. Based on your custom configuration, the OCR region could focus on important aspects of a document that contain the relevant information. For example, a template associated with a receipt for a specific customer would then OCR a region of an imported document and fill in the document index field automatically. This enables easy input of a receipt date as a document index field.

Once configured, all document index fields can be populated simultaneously by selecting Auto Populate Segments in the top navigation menu. The preview pane then zooms to the OCR selection area and the fields are populated with the translated information.
  1. Double-click any document index field name.
    The Read Location Setup window appears.
  2. Select the Auto OCR location checkbox.
    A file browser window appears.
  3. Select a template TIF image that corresponds to your currently selected document template and select Open.
    The selection window appears.
  4. Left click and drag to select a region to automatically OCR. The text is then populated within the selected document index field from step one.
    • Select Close to cancel and return to the previous window.
    • Select Zoom to adjust the zoom level of the current document.
  5. Press Select when the appropriate OCR location is highlighted.
  6. Select Save to complete to save your Auto OCR location.

Set up Read barcode location

Read barcode location is a feature that allows PSIsafe Desktop to read a barcode within a document and translate this data into text that automatically populates a document index field. Based on your custom configuration, the region could OCR important aspects of a document that contain the relevant information. For example, a template associated with an receipt for a specific customer would then OCR a region of an imported document and fill in the document index field automatically. This enables easy input of a Unique ID folder index associated with a preconfigured customer template and automatically fills in the Folder location.

Once configured, all document index fields can be populated simultaneously by selecting Auto Populate Segments in the top navigation menu. The preview pane then reads the barcodes and the corresponding fields are populated with the translated information.
  1. Double-click any document index field name.
    The Read Location Setup window appears.
  2. Select the Read barcode location checkbox and the corresponding barcode type checkbox(es) as well.
    A file browser window appears.
  3. Select a template TIF image that corresponds to your currently selected document template and select Open.
    The selection window appears.
  4. Left click and drag to select a region to automatically read a barcode. The barcode data is then populated within the selected document index field from step one.
    • Select Close to cancel and return to the previous window.
    • Select Zoom to adjust the zoom level of the current document.
  5. Press Select when the appropriate barcode location is highlighted.
  6. Select Save to complete to save your Read barcode location.
