Create a new scheduled item

To create a new scheduled item, select a cabinet, folder, or a document, right-click it and select Add Schedule. The setup window appears. It contains the following tabs: Schedule, Assign, Route, Notification, and Status. To select the preferred options, perform the following actions.

  1. On the Schedule tab, set the Due Date. It is required for any new schedule and may be changed by the owner only.

    The scheduled event turns red, if allowed to expire. You can select a user-specific Initial Status, Category, and Priority by clicking the ellipsis button. To set a default value, select the check box to the right of the ellipsis button.

  2. Open the Assign tab.

    Add the preferred users or groups. You may add more than one user or group, and also select the Release me from the scheduled item check box.

    When scheduling the item and creating the schedule, you can allow the assigned users to make changes to a scheduled item. Schedule edits are traced. This is ideal for rescheduling items under special circumstances, or for items that need to have the same operation performed at a later date. When updates occur, they are noted in Document Trace.

  3. Open the Route tab. You can route an item to the selected users or groups on the scheduled date. Note that the item is routed only if it is not already in the workflow, locked, or in edit.

    To route an item, you must have at least view rights to the item at the time (schedule due date) of the route.

  4. On the Notification tab, you can add reminders to the current user Outlook calendar or send an appointment invitation to assigned users. The system does not access local Outlook when creating a schedule if notification check boxes are not selected.
  5. Status is open after the assigned users open the scheduler on their desktop under the dashboard. The Status screen has a note preview below the list box, which makes reading long notes easier.
  6. Click Save after all information is added.

Access to a scheduled item

To access an item, click the preferred item. This opens to the location of the item. If it is a cabinet, the cabinet is opened, or if it is already open, the focus is set to it. If it is a folder or document, the cabinet is opened and then the item selected. If the item is in workflow, after clicking the preferred item you are taken to the item in the workflow inbox or to the item in the cabinet.

Notes

Notes added to scheduled items are saved in the trace report. Trace is updated when a schedule is created, edited, or dismissed.
