Document functions and features

The following sections cover all the functions and features that PSIsafe Desktop can facilitate on documents. Functions can be accessed via right-click, navigation menus and toolstrips, or the Speedbar at the bottom of the PSIsafe Desktop interface within the Cabinets browser.

Document right-click functions

Below is a description of the functions that appear when right-clicking a document within the Document List pane.

  • Refresh: Refreshes the document list.
  • Preview: Opens a document in the preview pane (also happens automatically when left-clicking a document).
  • View - Opens document in a separate viewer window.
  • Edit Document: Opens a document in the editor assigned to that filetype.
  • Route: Route a document through Workflow with corresponding distribution options.
  • Lock/Unlock: Locks a document to prevent viewing or modification by any other users until unlocked.
  • Suspend / Unsuspend: Suspends a document to prevent editing until unsuspended. Suspended documents can still be viewed with the appropriate rights.
  • Check Out / Check In: Checks Out a document to prevent viewing or modification by any other users until the same user uses Check In.
  • SHARE: Opens the SHARE window to allow a user to share PSIsafe Desktop content externally.
  • DocuSign - Send: Opens the DocuSign window to allow a user to send a document to the DocuSign Web Portal for signing and sending.
  • Versions: View previous versions of the current document back to its original when filed.
  • Keyword: Add keywords to enhance search criteria options when using the "Get Document Information" and search functions.
  • Get Document Information: Displays a window containing a list of information on the document, from file size to extension type, modification dates, and more.
  • Trace: Displays the document status in Workflow or how the document is being accessed by other members of your organization.
  • Get AP Information: Displays a window with Accounts Payable information from the associated PSIsafe Desktop AP utility (legacy).
  • Add schedule: Schedule a document to be assigned to a user through Workflow.
  • Add bookmark: Right click on a cabinet, folder, or document to add a bookmark that appears on your Dashboard.
  • Cut document: Moves a document to another tab, folder, or cabinet (delete rights required).
  • Copy document Copies a document to another tab, folder, or cabinet.
  • Paste document: Pastes a document to another tab, folder, or cabinet (create rights required).
  • Paste Advance: Pastes a document to another tab, folder, or cabinet (create rights required) and allows the user to change security and tab when the copy is made.
  • Delete: Deletes a document, which is then moved to the Recycle Bin - (delete rights required).
  • Make Parent Documents: Changes a child document (attachment) to a parent document. Multiple documents can be attached as child documents to a parent document.
  • Change Image format: Changes the filetype of a document by converting it from certain supported formats to other supported filetypes.
  • Compare documents: Opens a window to compare two documents.

Document List menu functions

These functions are available from the Document List > Tools menu just above the Document List pane.

  • Back: Returns to the folder browser or document list from Search results (only visible within Search results).
  • View: Opens document in a separate viewer window.
  • Edit: Opens a document in the editor assigned to that filetype.
  • Scan: Scan a document directly into PSIsafe Desktop using a physical scanner.
  • New: Creates a new document from within folder based on preconfigured templates assigned to that Cabinet.
  • Print: Prints content to an installed printer.
  • Tools - A variety of additional tools are available in this submenu to assist in your workflow:
    • Route: Routes content to a specific user or group through Workflow.
    • Import: Imports content directly into this folder, filling out the corresponding location points within the Document Filer window automatically.
    • Export: Exports the selected content out of PSIsafe Desktop.
    • Print: Prints the selected document(s).
    • Email: Emails the selected document(s).
    • Export Document Listing: Exports a spreadsheet of the current document list.
    • Suspend / Unsuspend: Suspends a document to prevent editing until unsuspended. Suspended documents can still be viewed with the appropriate rights.
    • Check Out / Check In: Checks Out a document to prevent viewing or modification by any other users until the same user uses Check In.
    • SHARE: Opens the SHARE window to allow a user to share PSIsafe Desktop content externally.
    • DocuSign - Send: Opens the DocuSign window to allow a user to send a document to the DocuSign Web Portal for signing and sending.
    • Custom: Add either a Custom Table Record with a preconfigured custom document template or unlink the selected document(s) from any workflow or scheduled routing tasks to enable the Delete function.
    • Trace: Displays the document status in Workflow or how the document is being accessed by other members of your organization.
    • Get AP Information: Displays a window with Accounts Payable information from the associated PSIsafe Desktop AP utility (legacy).
    • Utilities: Choose from one of these options:
      • Get Document Information: Displays a window containing a list of information on the document, from file size to extension type, modification dates, and more.
      • Update File Size Information: Input a value to alter the stored file size information.
    • Toggle Hide Tab If Empty: Toggles the Hide Tab feature to allow users to hide an empty tab (only available if the currently selected tab is empty).
    • Toggle Quick Search: Toggles the Quick Search field that appears immediately above the Document List.

Document Speedbar functions

The Speedbar is available within the Cabinets browser and allows users to drag and drop folders or documents onto specific buttons that then perform the corresponding function. Each function is described in the list below.

  • Email: Emails the selected document(s) or folder(s).
  • Route: Routes document(s) or folder(s) to a specific user or group through Workflow.
  • DocuSign: Opens the DocuSign window to allow a user to send a document to the DocuSign Web Portal for signing and sending.
  • SHARE: Opens the SHARE window to allow a user to share the selected folder(s) or document(s) externally.
  • Print: Prints the selected document(s) or opens a separate window to confirm which documents to print if dragging and dropping an entire folder.
  • Combine: Combines two or more selected folders or documents of the same filetype.
