Configure workflow

You can configure the flow of a solution using the Workflow tab.

By default, a Start node is added in the Designer area. From this node, you can add tasks, rules, conditions, sub-processes, custom services, and other nodes, such as RPA and Design, to create a workflow.

Procedure

  1. In your workflow designer, select the Workflow tab.

    A Start node is added and selected by default. A default name (Start) appears in the Title field. You can change the name for the node as needed.

  2. Select below the Start node.

    The Add activity dialog box is displayed.

  3. Add the following nodes as needed and configure them:
  4. Select Add.

    The node is added.

  5. Add an end node.
  6. To use Capture functionality within your Workflow, do the following:
    1. Select the process (not the node).

      The Properties panel for the process is displayed.

    2. On the Classification group list, select the required classification group.
    3. Select Initialize from scan.

      To make your workflow capture-enabled, you must include only one variable of type Document or Folder as an initialization variable; otherwise, an error is displayed when saving or publishing the Workflow. For more information on "Initialize from Scan", refer to "Process properties" in the TotalAgility Advanced Studio Help.

  7. Select Publish on the ribbon bar.

    • The "Create new job" form is generated, and the generated form name is displayed in the Job creation form box. The Open form, Regenerate, and Clear options are displayed.

      • You can generate the form only if the solution is published at least once.

      • If the "Initialize from scan" checkbox is selected, instead of "Create new job" form, the "Scan create new job" form is generated.

      • If the data object initialization parameters change or a data object variable is added as initialized, then the "Regenerate" option is not available. You must clear the form name and generate it again.

      • If you use an initialization data object variable, only the "Open form" and "Clear" options are displayed.

      You can do the following with the generated form:

      Open form

      Opens a form in the TotalAgility Advanced Studio if you have access permissions for TotalAgility Advanced Studio in TotalAgility Advanced Studio. For more information, refer to "Assign access permissions for TotalAgility Advanced Studio" in the TotalAgility Advanced Studio Help.

      Regenerate

      The form associated with the process is regenerated.

      Clear

      Prompts you that the associated form will be cleared.

      • If you select Yes, the form is deleted, and the associated form property is cleared.

      • If you select No, the form is not deleted and only the associated form property is cleared. When you try to generate the form, the following error message is displayed: "A form already exists with the generated name, please provide a unique name". To generate the form with another name, enter a form name in the given box and select Generate.

        The form is generated again with the provided unique name.

    • The items are created within the category selected in the App settings.

    • An activity form is generated for any task that uses a parent-level data object variable as an input or output.

    • Any processes created as part of a Workflow are made available for reuse within TotalAgility Studio.

    • The process generated is added to the Workflow solutions list within TotalAgility Advanced Studio (System > System settings > Apps > Enabled for use).

    • If the process contains only one folder initialization variable, then the process is added to the DocAI list and in the TotalAgility Advanced Studio(System > System settings > Apps > Enabled for use).
