Document sensitivity classes
Sensitivity classes for documents enhance document security and allow administrators to apply certain rights to users. Document classes provide a name with which to assign access rights. Two special classes, {Read-Only} and {Non-Delete}, are available. Users may delete a {Read-Only} document if they have delete rights, but no one can edit a document assigned to this class even if they have the corresponding edit rights. If a document is added with the {Non-Delete} class, no one (not even the system administrator) is allowed to delete the document. Use the {Non-Delete} document sensitivity class only for documents that should never be deleted.
To access document sensitivity classes, navigate to the tab.
On the Document tab, you can see a list of current document sensitivity classes. To edit a document sensitivity class, click the appropriate class and update the name in the Description field of the Document Security Edit panel on the right.
To add a class, under the Document Security Edit panel, input a name for your document sensitivity class into the Description field and click Add. Then, click Save to apply the changes.
Once this document sensitivity class is created, it can be assigned Access rights accordingly.
To assign rights to this folder sensitivity class, go to . Add or Edit permissions for a user or group, and on the Document Rights page, assign any of the following security levels after selecting the corresponding document sensitivity class.
- Preview: Allows the user to preview the document.
- View: Allows the user to view the document with its native application.
- Export: Allows the user to print, email, or export the document to the file system on the computer being used.
- Edit: Allows the user to edit the document with its native application.
- Create: Allows the user to create a document with this access level.
- Delete: Allows the user to delete a document.
- Lock: Allows the user to lock a document and prevent other users from accessing it.
