Profile basic information

When creating a PSIsafe user account, whether that account is associated with a Windows ID or a Microsoft Entra ID, certain information must be filled out in the user profile to complete the account creation process. Follow these steps after selecting Users > Add.

  1. Select a valid license type, so that this user can log in and have access to data.

    The license types are the following.

    • None: No license assigned. User is not able to log in.

    • Regular Full: The user is able to obtain a full use license.

    • Regular View: The user is able to obtain a view-only license.

    • Regular Web: The user is able to obtain a web license.

    • Concurrent Full: The user obtains a full use license if the license count is not exceeded.

    • Concurrent View: The user obtains a view only license if the license count is not exceeded.

    • Concurrent Web: The user obtains a web license if the license count is not exceeded.

    Click OK to save the license type.

  2. Enter a full name of the user.
  3. Enter the initials of the user. If the parameter Created by is added to a document index, the user creating the document is identified by these initials.

    This field is optional.

  4. Enter the description, department, and phone number of the user.

    These fields are optional.

  5. Enter the extension if applicable.
  6. Enter the email address for the user. This field is optional, but is used for workflow notification and escalation messages.

    If this user is using a Microsoft Entra ID, the email field must match the corresponding Azure or Microsoft Entra ID email.

  7. If your installation uses Microsoft Entra IDs, the following fields are read-only and filled out automatically when this account is later associated with a Microsoft Entra ID. To associate a user with Microsoft Entra ID, see Microsoft Entra Users. There is no need to manually fill out the Microsoft Entra ID fields described below:
    • Entra User ID: This is the user name within the domain.

    • Entra Email: This is the email address associated with the domain.

    • Entra Principal: This is the assigned principal individual within your organization, which is managed in Azure Portal or Microsoft Entra Admin Center.

  8. Enter the login name, which is a required field.

    This is the name assigned to the user account to log into PSIsafe Desktop. The name can be up to 50 characters in length and can use any characters. It is case insensitive for login purposes. Duplicate login names are not allowed.

    If selecting the Use Windows ID checkbox, this field becomes greyed out and is instead sourced through Windows Active Directory.

    Please note the following when using the Use Microsoft Entra ID checkbox: If using a Microsoft Entra ID, this checkbox will be automatically enabled during the Microsoft Entra ID association process. If the user hasn't been linked to an Entra user, this check box is disabled.

    If this checkbox is checked, this user can only log in with a Microsoft Entra ID, and cannot use their local PSIsafe username and password to log in. This setting overrides the global option within the "Microsoft Entra ID" settings. If the global setting allows users to login with a local PSIsafe username, but this checkbox to "Use Microsoft Entra ID" is checked, then that user cannot login with a local PSIsafe username and password.

  9. Enter the password, which is a required field.

    Password can be any combination of numbers and characters. Password is case-sensitive. Password requirements and policies can be configured in Password.

  10. In the Verify field, re-enter the user password to ensure the password is entered correctly.
  11. Edit/Cancel password: These buttons are available if you open the Users screen in edit mode.

    These functions allow you to modify a previously defined user password.

    Click Edit to modify the password; click Cancel to leave the password as is.
