Add rule

The PSIsafe Desktop administrator needs to regularly create, modify, or remove rules that determine the path of content sent through the workflow. To simplify the general process, creating simple rules that enable users to perform a basic function within a workflow and, in some cases, alter the workflow to suit their business needs, make the PSIsafe Desktop workflow even more helpful to an organization.

To add a new rule, perform the following actions.

  1. On the main rules screen, click Add.

    The rule details screen appears.

  2. Enter a new rule name and click Add.

The decision point screen appears. It is used to control the type of decision you make at this point in the rule. Four different types of decision points are available. To understand a decision type, think of it as "What happens at the next step" of your workflow. Decision types dictate what the user needs to do on "Approval" of a document in the workflow.

  3. Set the decision type in the first decision point.
    • Fixed: The decision is predefined.

The user does not see any prompts. This is a "static"' route that goes in only one direction.

    • User: The decision is based on the user choice.

The user selects from a defined list of choices.

    • Variable: The decision is based on the user entry value.

The user needs to enter a value. Based on the value, the rule sends the item to a paired destination.

    • End: This item must be the final point in any rule.
  4. Click Next to proceed to the alerts window.

Alerts are used to notify users and others through email, about the status of workflow items. This tool lets the administrator take automatic action if a user is not processing workflow items quickly enough. For more information, see the Use notes on folders topic of the PSIsafe Desktop User Help.
