Enable hierarchical GL accounts

If you want to restrict users to specific hierarchical segment selections, it is necessary that your database is configured so that its data is hierarchical. Since it is possible to have multiple GL Account Structures, it is possible that some use a hierarchy while others do not.

Important Once this feature is enabled, it is possible that some favorites or recently used GL codes that were successfully used by AP Workflow users for previous invoices, are no longer valid. If a user attempts to use one of these obsolete GL codes, a validation message is displayed indicating that the selected code cannot be used because it does not adhere to the configured hierarchy.

Once your data is configured to use a hierarchy, you can configure a GL Account Structure so that it uses hierarchical GL accounts by following these steps.

  1. From the Settings menu select Workflow.

    The Workflow menu is displayed.

  2. Select GL Account Structures.

    A list of existing GL account structures are displayed.

  3. Select the GL account structure that you are modifying by clicking on its Structure Name.

    The Edit GL Segment Structure window is displayed so that you can make changes to your structure.

  4. Select Use Hierarchical GL Account
  5. Click Save.

    The dependencies between the loaded segments in your GL Account Structure are updated so that a hierarchy is now supported. AP Workflow users can start using hierarchical GL Codes from this point forward.
