Manage organizations

Kofax AP Agility supports two levels of organizational hierarchy: organization and business units.

In order to use the various features of Kofax AP Agility, a license is required.

Specifically, an Invoice Processing license is required to create or edit an organization.

Also, an AP Agility Workflow license is required to create or edit an organization that includes the AP Agility Workflow functionality.

An organization is the largest hierarchical unit that represents an enterprise. Although you can create multiple organizations in Kofax AP Agility, in general a single organization is sufficient. An organization may correspond to a company, corporation, or legal entity.

During creation, it is possible to create several settings on-demand if they are not yet configured in your solution. For example, you can create the following settings on-demand.

  • Vendor Partition

  • Employee Partition

  • ERP Connection

  • GL Account Structure

The ERP Connection setting is available only if you are basing an organization on an ERP-related template or existing organization. The GL Account Structure setting is available only if you select the Use AP Workflow setting. The on-demand items are created when you create an organization and they have the same name as the organization itself.

When an organization is first created, several settings for that organization are predefined in the Invoice Processing. Specifically, the settings related to how invoices are validated in Invoice Processing are predefined with the related database columns in the AP Agility database. If you need to change the default validation settings, edit the following settings as needed.

An organization and its settings determine the way that an invoice from that organization is processed by Kofax AP Agility. For example, certain fields are hidden and specific users process each step in the workflow.

Organizations may be in a state that is either active or inactive. However, you can import invoices from an active organization only. To change the state of an organization, open the organization from the Organizations page.

Business units are children of an organization. These correspond to a specific Company Code for an organization.

Business units may also be in a state that is active or inactive. Inactive business units are treated as if they do not exist. To change the state of a business unit, open the business unit from the organization Organization - Business Units tab.
