Add an email template for a business unit

If you want the users in the Coding activity, the Approval activity, the Exception activity, and the Line Pairing Exception activity to send a pre-defined email, you can add an email template that they can select when they use the Send Email functionality by following these steps:

  1. Open the Kofax AP Agility Work Queue as an Administrator.
  2. On the Settings menu, click Organizations.

    The Organizations are displayed.

  3. Select an organization from the list by clicking on its Organization Name.

    The organization details for the selected organization are displayed.

  4. Click on the Business Units tab.

    The Organization - Business Unit tab is displayed.

  5. Click on the Business Unit Name link where you are setting up an approval hierarchy.

    The Business Unit: New or Edit window is displayed.

  6. Click Email Templates.

    The Email Templates window is displayed.

  7. By using the fields below the table, perform the following steps to define an email template.
    1. Enter a Name. (Mandatory)

      This name is seen by activity users, so enter a value that is descriptive and unique.

    2. Enter a Description. (Optional, but recommended)

      This value is seen by Administrators only and should describe the purpose of the email template.

    3. Enter one or more comma-delimited email addresses into the To field. (Mandatory)
    4. Enter one or more comma-delimited email addresses into the CC field. (Optional)

      These users are copied on the email and they can see all other users who are entered in the To and CC fields.

    5. Enter one or more comma-delimited email addresses into the BCC field. (Optional)

      These users are copied on the email but they cannot see who else receives the email.

    6. Enter a value for the Subject. (Mandatory)
    7. Enter a value for the Body of the email. (Mandatory)
    8. Click Add.

    The template is added to the table at the top of the window.

  8. Optionally, add another email template, edit an existing email template, or delete an email template.
  9. Click Close.

    The Business Unit: New or Edit window is displayed.
