Add document conversion profiles

Use the following procedure to add a document conversion profile.

  1. Navigate to Capture > Document conversion profiles.
    The Document conversion profiles page appears.
  2. Click New.
    The New document conversion profile dialog box is displayed.
  3. On the General tab, do the following:

    1. In the Name text box, enter a unique name for the document conversion profile.
    2. In the Description text box, enter a description for the document conversion profile.

      The description cannot be more than 255 alphanumeric characters.

    3. In the Document conversion timeout box, select the time in seconds within which the document conversion should be completed; otherwise, the document conversion process stops. (Default: 600 Seconds)

    4. In the File extraction section, select the file type allowed for extraction. To select a file type: Click , select the File type, and then click Add. The available file types are:

      File type If selected If not selected

      ZIP (.zip, .rar, .7z, .tar, and .gz)

      The files inside the ZIP file are extracted and converted. N/A

      Portfolio PDF

      The files embedded inside the Portfolio PDF are extracted and converted. Only the main PDF is converted. The files embedded inside the PDF are not extracted.

      MS Office Document (Docx, Xls, Xlsm, Xlsx, Pptx)

      The main document is converted, and the files embedded inside the document are extracted and converted. Only the main document is converted. The files embedded inside the document are not extracted.

      Email (MSG and EML)

      Extracts and converts the EML and MSG files attached to the emails.

      The extraction results in a separate TotalAgility document for the email body and each attachment.

      The Body with message header option is enabled only when this file type is selected.

      Only the email body is converted.

      • When Email (MSG, EML) file type is selected, the extraction results in a separate TotalAgility document for the email body and each attachment.

      • If multiple files are embedded, each file is converted into a separate output file.

    5. Select the Body with message header option to convert emails with or without the message header. This option is enabled only if the Email (MSG, EML) file types are allowed for extraction in File extraction option. The available options are:

      • Exclude message header (Default): The email body is converted without the message header.

      • Include message header of email: The email body is converted along with the message header.

      • Include message header of email and embedded email(s): The main email body and the nested emails are converted along with the message header.

    6. Select the Flatten XFA forms to PDF documents using Adobe Experience Manager option to allow conversion of XFA forms to PDF documents. (Default: Clear)

      Ensure the following:

      • Install the Adobe Experience Manager output service and ensure that the web service interface is available.

      • Configure the Adobe Experience Manager credentials in the Kofax Document Converter Configuration that is available at: Start > Kofax > Document Converter Configuration.

      • If supported, you can also use Adobe LiveCycle to convert XFA Forms.

      • This option is not supported for cloud applications.

    7. In the Convert to drop down, select the required output and configure the settings. Available options are:

      • None: The document conversion does not happen.

      • PDF: Configure the following settings if the required output is PDF.

        • Create PDF for capture input: Select this option to enable the PDF output to be used for the capture process/activities. If selected, the PDF replaces the original source file.

        • Preserve original source file: Select this option to preserve the original source file as a binary extension.

          If selected, the original source file is moved to the Kofax.TotalAgility.OriginalDocumentSource binary extension.

        • Concatenate multiple PDF files: Select this option to concatenate the PDF files selected at the time of importing. (Default: Clear)

        • Normalize PDF documents to PDF/A: Select this option to convert the PDF documents to the ISO-standardized PDF/A format specialized for the digital preservation of electronic documents. (Default: Clear).

        • Output PDF format: Select the output PDF format. (Default = PDF/A-2b).

          If the input PDF file format is not compatible to be converted to the required output format, the actual output format may be downgraded. For example, if the input file version is PDF 1.5 and if the "Output PDF format" is set to PDF/A-1a, PDF/A-2a or PDF/A-3a, the output PDF document is PDF/A-1b, PDF/A-2u or PDF/A-3u respectively.

        • Embed original source file: Select this option to embed the source files in the normalized PDF file. This option is only available when Output PDF format is set to PDF/A-3a, PDF/A-3b or PDF/A-3u.

          If the input source file is XML, it is not embedded in the normalized PDF file.

      • TIFF (Default): Configure the following settings if the required output is TIFF:

        Scale to

        Select the document page size. You can select a size or an option to match it to the best standard, such as:

        Match best: This option matches the document size with the nearest available page size.

        Match best Euro: This option matches the document size with only the standard European page sizes.

        Match best US: This option matches the document size with only the standard US paper sizes (letter and legal).

        Image color depth

        Select the color for the output image, such as Black and white (default), Grayscale, or Color.

        Image dpi

        Select the resolution for the output image.

        Compression quality

        Specify the compression percentage to perform on the output files. If 100 % is selected, no compression is performed. (Default: 75%)

        When the "Image color depth" is set to "Grayscale" or "Color", JPEG compression is used, but when it is set to "Black and white", Group 4 compression is used.

        The Compression quality setting is only available when the Image color depth is set to Grayscale and Color for TIFF images. Also, compressing an image may affect the image quality.

    8. In the Allow conversion section, add the file extensions allowed for conversion. To add a file extension, click , enter File extension, select Operator, set Size (bytes), and then click Add.

      To edit the allowed conversion details: Select the record to edit, click , make the required changes, and then click Ok.

      To delete the allowed conversion details: Select the record to delete, click , and then click Yes.

    9. In the Skip conversion section, add the file extensions to skip for conversion. To add a file extension, click to enter File extension, select Operator, and set Size (bytes), and then click Add.

      To edit the skip conversion details: Select the record to edit, click , make the required changes, and then click Ok.

      To delete the skip conversion details: Select the record to delete, click , and then click Yes.

    10. In the XML Rendering section, configure the following to render XML files:

      To render XML documents, you must select "Create document from XML content" when configuring the Import sources. For more information, see Import sources.

      • Page size: Select the output file page size for rendering the XML files.

      • Page orientation: Select the output file page orientation for rendering the XML files.

      • XSLT for XML rendering: Specify the required XSLT code for formatting the XML files.

        XML rendering is disabled if this field is empty.

        Use the Sample XML and Sample XSLT to generate the required XML and XSLT files.

        The process of XML to PDF conversion using XML rendering involves the following:

        1. The XSLT code specified in the XSLT for XML rendering field is applied to the input XML file.

          This generates the formatted HTML file.

        2. The HTML file is then converted to PDF.

    You can configure only one of these options: Allow conversion or Skip conversion. You cannot configure both.

  4. On the Advanced tab, do the following to enhance the TIFF output quality:

    • Smooth flags: Select how you want the output image to be, such as text, line art, or image.

    • Render flags: If you do not want to apply dithering to the output images, select No dithering.

    • Settings for conversion of Office documents: Click Configure to configure KFXConverter settings. For more information, see Configure Kofax Converter.

      • Each document conversion profile uses the default KFXConverter settings for document conversion.

      • The settings specified here override the default KFXConverter settings.

      • When you upgrade TotalAgility from version 7.8.0, any settings modified using the XML format are populated in their respective fields.

  5. Click Save.
